About the Opportunity

The Health Information Specialist I is an entry-level role responsible for processing medical record requests efficiently, securely, and accurately. This position ensures patient privacy is maintained in strict compliance with applicable federal and state regulations while providing high-quality customer service. The role contributes directly to the organization by managing the Release of Information (ROI) workflow, supporting the secure and compliant handling of sensitive patient health data.

Responsibilities

  • Receive, review, and process patient health information requests following standard operating policies and compliance procedures
  • Maintain absolute confidentiality and protect privileged patient information at all times
  • Utilize company-proprietary and healthcare facility software tools effectively to navigate medical records
  • Follow corporate codes of conduct, workplace safety guidelines, and organizational data policies
  • Report real-time operational challenges and volume fluctuations to management to ensure proper staffing alignment
  • Support additional administrative duties as required to optimize facility operations
  • Apply medical privacy regulations consistently to prevent data breaches or unauthorized disclosures
  • Manage patient health records systematically and ensure ongoing HIPAA compliance across all workflows
  • Prepare new patient charts by gathering and organizing necessary initial clinical documents
  • Assemble, audit, and verify the accuracy and completeness of physical and electronic medical records
  • Create high-quality digital images of physical paperwork for integration into Electronic Health Record (EHR) databases
  • Respond to internal and external patient record requests appropriately and within statutory deadlines
  • Handle high-volume inbound and outbound telephone calls professionally
  • Assist patient walk-ins and execute essential administrative tasks such as faxing, mailing, and high-speed data entry
  • Consistently meet or exceed established daily productivity and quality expectations
  • Schedule courier pick-ups for physical medical records when necessary

Requirements

  • High School Diploma, General Education Development (GED) equivalency, or equivalent practical experience
  • Ability to commute reliably between assigned facility locations
  • Flexibility and willingness to work overtime hours during peak volume periods
  • Basic computer literacy, including experience navigating web browsers and inputting data
  • Operational proficiency with multi-line phones, fax machines, heavy-duty printers, and similar office equipment
  • Professional verbal and written English communication skills
  • Strong attention to detail and a commitment to quality when handling sensitive medical documentation
  • Strong alpha-numeric data entry skills with an emphasis on accuracy
  • Ability to work independently with minimal supervision and adapt quickly to changing priorities
  • Strong organizational skills to manage multiple administrative tasks concurrently
  • Ability to respond promptly and maintain composure in a fast-paced environment

Preferred Qualifications:

  • Prior experience operating within a medical records department, clinic front desk, or healthcare administrative role
  • Foundational familiarity with Electronic Health Record (EHR) systems or medical terminology

Pay Range and Compensation Package

Target baseline hourly compensation: $15.00 USD per hour (fixed target rate framework)
