About the Opportunity

The Health Information Specialist I is an entry-level role responsible for processing medical record requests efficiently and accurately. This position ensures patient privacy by managing health information releases in compliance with legal and organizational standards and supports high-quality customer service within a fast-paced environment.

Responsibilities

  • Process incoming patient health information and medical record requests in strict accordance with company, facility, and regulatory protocols
  • Maintain absolute confidentiality and physical/digital security of all privileged, protected health information (PHI)
  • Utilize specialized company and facility electronic health record (EHR) software platforms with high technical proficiency
  • Adhere closely to the corporate code of conduct, compliance frameworks, and organizational data policies
  • Monitor, track, and systematically communicate work progress, backlog statuses, and sudden volume fluctuations to management
  • Assist the health information management team with additional administrative duties and operational support as needed
  • Apply complex federal, state, and local medical privacy regulations consistently across all document processing tasks
  • Manage, audit, and safeguard historical and active patient health records in strict compliance with HIPAA standards
  • Prepare, organize, and assemble patient charts and physical medical records with an emphasis on chronological and structural accuracy
  • Scan physical medical documents to create high-quality digital images and route them properly into electronic medical record databases
  • Respond professionally to high-volume internal and external patient record requests from providers, insurance payers, and legal entities
  • Handle inbound and outbound phone inquiries regarding the status of records requests, resolving issues politely and efficiently
  • Support patient walk-ins at the facility and execute vital front-office tasks, including faxing, physical mail sorting, and data entry
  • Meet or exceed site-specific daily productivity benchmarks, data accuracy goals, and processing turnaround timelines
  • Cook up secure document pickups or physical record transfers as required by facility demands

Requirements

  • High School Diploma or General Education Development (GED) equivalency
  • Reliable transportation and the absolute ability to commute consistently between designated facility locations
  • Scheduling flexibility and a willingness to work structured overtime during peak processing periods or high-volume cycles
  • Solid foundational computer literacy, including experience navigating web-based applications and utilizing standard office equipment
  • Professional verbal and written English communication skills suitable for front-line client service and inter-departmental correspondence
  • Exceptional, rigorous attention to detail to prevent data mismatching during the processing of highly sensitive medical records
  • Strong alpha-numeric data entry abilities, including comfort handling high-volume typing with minimal errors
  • Proven ability to work independently with minimal direct supervision while effectively managing multiple tasks simultaneously
  • Excellent professional adaptability, with the resilience needed to thrive under the demands of a fast-paced healthcare environment

Pay Range and Compensation Package

The target baseline hourly compensation framework is $15.00 to $15.00 USD per hour. This entry-level health information position is structured as an hourly role, with final scheduling alignment and local site deployment verified during the interview process.
