PURPOSE
Reporting to the Fund Director of Atlantic City Health Center (ACHC) and Operations, the Facilities Manager is responsible for planning, supervising, directing, reviewing, and overseeing all building-related operations and projects.
Essential Job Functions And Duties
- Manages the day-to-day ACHC building facilities operations onsite with the building owner’s property manager offsite.
- Oversight of repairs, issue prevention, mitigation, reporting and tracking of issues to resolution daily.
- Provider partner/vendor communication and collaboration.
- Onsite construction project oversight and planning facilitation.
- Facilitates biweekly Facilities meetings to manage, track, and communicate all building-related projects and issues.
- Escalates barriers to resolution or unresolved safety and security issues.
- Overseeing continued training requirements, safety, and quality initiatives.
- Managing relationship with security camera, motion detection, and burglar alarm system vendor and serving as backup for intrusion alarm response.
- Invoice management for Fund specific building vendors, architects, contractors, as applicable.
- Supports Fund Human Resources and Legal leads to create associate education for ACHC Safety and Security (S&S) policy and procedures.
- Assigns security access to building staff, including swipe badges, keys, and alarm codes.
- Analyzes problems, identifies, and develops alternative solutions, projects consequences of proposed actions, and implements recommendation/solutions.
- Serve as Fund and ACHC point person for structural issues and report to the building owner for resolution.
- Manage and track regular building maintenance and cleaning through Building Engines.
- Work directly with building owner contracted onsite security team for issues resolution.
- Confirms ACHC provider partner annual holiday schedules, provides to property owner and security team.
- Works with Fund Communications team to relate and post signage and waiting room monitor displays for special events, construction, building closures, including emergency weather-related, or holidays.
- Serves as Fund and ACHC point person for structural issues and report to the building owner for resolution.
- Supports IT on building-related IT work orders and serves as a backup for IT (reporting issues regarding phone system, servers, Internet connection etc.).
- Partners with Oak Brook Facilities & Office Services for office needs (e.g., vendors for services, furniture, supplies, etc.).
- Identify opportunities for improvement and communicating proposed solutions.
- Serves as an adjunct when necessary to the building’s contracted janitorial services.
Essential Qualifications
- Minimum 5 years Facilities oversight.
- Solid working knowledge of OSHA standards.
- Previous Construction Project management and oversight experience in a healthcare environment (e.g., clinic, provider office) preferred.
- Working knowledge of modern office machinery and equipment.
- Budgeting theories and principles; building management; building maintenance and repair; materials management principles.
- Janitorial services; procurement theories and principles.
- Department safety practices and procedures.
- Infection control policies and practices; storage, use, handling, and use of hazardous materials.
- Department and Health Center emergency response policies and procedures.
- Modern theories, principles, and practices of effective supervision.
Skills And Abilities
- Intermediate level Microsoft Office skills (Excel, PowerPoint, Word, and Outlook).
- Fluency (speak and write) in Spanish.
- Strong communication, presentation, and collaboration skills, with the ability to engage comfortably and productively in both individual and group settings.
- Able to track multiple projects to completion by goal date.
- Strong organizational skills.
- Strong interpersonal and professionalism skills, with the ability to represent the Health Center positively across all levels of the organization/health center.
Physical Demands
- Mobility to work in and around the building, to sit, stand, and walk on level, uneven, or slippery surfaces; frequently reaching, twisting, turning, kneeling, bending, stooping, squatting, crouching, grasping, and making repetitive hand movements in the performance of daily duties.
- Strength and stamina to perform physical work; to lift, carry, push, and pull materials and objects weighing up to 60 pounds, in all cases with the use of proper equipment and/or assistance from other staff.
- Vision to inspect work areas and to read printed materials.
Environmental Conditions
- Uses universal precautions when performing any minor ad hoc cleaning as needed.
- May interact with upset staff or the public.
Salary Range
Salary $64,100 to $80,100. Actual base salary may vary based upon, but not limited to: relevant experience, qualifications, expertise, certifications, licenses, education or equivalent work experience, time in role, peer and market data, prior performance, business sector, and geographic location.
Work Schedule
Monday ~ Friday, 7.5 hours per day (37.5 hours per week) with potential for hybrid work-from-home arrangement.
