Position Summary
The Grants Coordination Officer provides administrative, organizational, and coordination support to the Grants/Business Development team. This role ensures all grant-related activities – including proposal development, donor submissions, and reporting – are effectively tracked, coordinated, and delivered on time. The position acts as a central liaison between grant writers, program teams, and other internal stakeholders to support high-quality, compliant submissions and reporting.
Essential Functions
- Serve as copy editor for all grant proposals and reports.
- Provide administrative support during the proposal development process including formatting documents, compiling annexes, and ensuring submission readiness.
- Aid in gathering required documentation for donor reports (narrative and financial).
- Support quality assurance processes by ensuring consistency, completeness, and compliance with donor guidelines.
- Maintain and regularly update the master grants calendar, including proposal deadlines, reporting schedules, and donor compliance requirements.
- Track all active and pipeline grants, ensuring key milestones and deliverables are clearly documented and accessible.
- Send reminders and follow-ups to relevant stakeholders to ensure timely submissions and reporting.
- Serve as the primary coordination point between grant writers, program teams, finance, and other relevant departments.
- Facilitate communication to ensure alignment on proposal development, reporting requirements, and grant deliverables.
- Coordinate inputs from multiple stakeholders, consolidating information for proposals and reports.
- Develop and maintain systems to track workflows across the grants team.
- Support workload planning by helping prioritize deadlines and flagging capacity constraints.
- Monitor progress against timelines and escalate risks or delays as needed.
- Maintain organized digital and/or physical grant files, including proposals, contracts, and reports.
- Ensure all grant-related documentation is up-to-date, version-controlled, and accessible.
- Support the development and maintenance of grants databases or tracking tools.
- Schedule and coordinate internal grant meetings, including kick-offs, review sessions, and debriefs.
- Prepare meeting agendas, take notes, and track action points.
- Support communication with external partners or donors when needed (logistics, document sharing, etc.).
- This position may be required to travel internationally. Conduct that reflects well on CRISTA Ministries and aligns with its mission, vision, Statement of Faith and Christian Community Representative Commitment (CCC).
Essential Qualifications
- CHRIST CENTERED: Belief that Jesus Christ is Lord and Savior.
- Is a committed Christian who is dedicated to continued spiritual growth and development as evidenced through a growing personal walk with God (e.g. daily spiritual rhythms of prayer, fellowship, Bible study, etc.).
- Prayfully seeks God’s will in their own lives and in their ministry at CRISTA.
- Engages our ministry including staff and colleagues through prayer, participation in spiritual practices, leading devotionals and other spiritual practices.
- Affirms, aligns with and supports CRISTA’s Statement of Faith and Christian Community Representative Statement (CCC).
- Conducts themselves in a manner which reflects well on CRISTA Ministries and aligns with its mission, vision, Statement of Faith and Christian Community Representative Commitment (CCC).
- Demonstrates the values of a CRISTA leader.
- EDUCATION: Bachelor’s degree in international development, public policy, communications, or related field. Relevant work experience may be substituted for education on a year-for-year basis.
- Experience: 2+ years of professional experience in grants coordination, project coordination, or proposal development for (I)NGOs or nonprofits.
- Experience working cross-culturally with diverse program teams and international field offices.
- LICENSURE / CERTIFICATION: Demonstrated computer skills and ability to work in MS Office. Familiarity with donor portals and proposal submission systems.
