About the role

The Grants Administration Manager (GAM) is a dynamic position within the Community Impact department of the Community Foundation of Broward. This role maintains the grants management system (GLM), manages all database aspects of the grants process, and ensures grant operations are smooth, effective, and timely. The GAM will manage a portfolio of special interest grants and scholarships, provide continuous improvement to grantmaking processes, and deliver exceptional customer service. The position serves as a knowledge source on grant data and information, supporting Community Impact Directors, nonprofit organizations, internal and external stakeholders, and colleagues across multiple departments.

Reports to: Director of Community Impact

Responsibilities

  • Grants Database Administration
    • Manage all aspects of the online application database (GLM), including building applications, reporting, payment, and other forms.
    • Provide pre-application and technical assistance to nonprofits preparing grant proposals, disseminate RFPs, application materials, manage and host office hours.
    • Manage the post-award process, including updating profile records, booking grants in GLM and C-Suite, setting up reports/follow-ups, and generating grant agreements.
    • Conduct due diligence to determine grant eligibility and award qualification.
    • Manage nonprofit organizations' records and grants records in C-Suite and GLM.
    • Organize and present at workshops for nonprofits (e.g., RFP sessions, Power Builders, PR & Reporting).
    • Run monthly "available to spend" reports for unrestricted and field-of-interest funds and assist Directors with funding allocations for approved projects.
    • Assist the Lead with the annual Agency Endowed and Designated distribution, conduct biennial due diligence checks on organizations to ensure IRS compliance, and update C-Suite records as needed.
    • Establish, build, and maintain relationships with nonprofits and convene them when required.
  • Reporting & Data Management Systems
    • Serve as the department’s go-to resource for grants data system platforms and information management on the GLM database.
    • Ensure reports are available to grantees and submitted on time.
    • Run data reports on all grants.
    • Conduct research to assist with community impact issues.
    • Produce collateral for the Community Impact department, staff, committees, and board communication on grants, programs, etc., and assist with meeting preparation.
  • Grants Coordination
    • Coordinate scholarships for annual awards, including preparing and distributing applications, working with partner organizations, vetting applications, overseeing the review process, and managing data entry, award, and decline letters.
    • Coordinate Field of Interest Funds by running RFP processes and/or identifying organizations for a minimum of 6 unique funds (e.g., animal welfare, Thanksgiving dinners, Turner/France) and ensure quality control of donor intent on grants.
  • Community Involvement
    • Actively engage in the community by attending meetings, site visits, conferences, etc., to advance the work of the Community Foundation of Broward.
  • Perform other duties as assigned.

Requirements

  • Bachelor’s degree.
  • Minimum of 3 years of consistent high-level work experience in database support, program administration, or operations; data collection, measurement, and evaluation.
  • Strongly preferred: grants database administration, grantmaking, grants management, or grant compliance experience.
  • Ability to build solid, trusted relationships with diverse sectors of a community.
  • Baseline knowledge and understanding of nonprofits, IRS rules, governance, organizational structure, and program development.
  • Strong and effective communication skills, including public speaking.

Pay

$67,000.00 - $98,000.00 per year
