About the role
This position plays a key part in supporting the full lifecycle of government-funded grants, combining financial oversight, compliance management, and administrative coordination.
Responsibilities
- Manage accounting activities across grant-funded projects, including accounts payable, accounts receivable, and general ledger entries to support accurate financial reporting.
- Prepare and review payroll and labor distribution data to ensure proper time-and-effort tracking and compliance with funding requirements.
- Analyze monthly grant expenditures to assess allowability, allocability, reasonableness, and alignment with approved budgets and sponsor rules.
- Monitor grant budgets, performance periods, and spending trends, identifying variances and supporting corrective actions or budget revisions.
- Prepare financial reports, reimbursement requests, invoices, and cash drawdowns for submission to government and funding agencies.
- Support grant setup in accounting systems, including coding structures, budgets, cost centers, and reporting requirements.
- Maintain audit-ready records and coordinate documentation for compliance reviews, audits, and grant closeout activities.
- Aid in proposal support, contract tracking, regulatory compliance, and coordination across finance, HR, procurement, and research teams.
Requirements
- Bachelor’s degree in Accounting, Business Administration, Public Administration, Research Administration, or a related field.
- 6-8 years of experience in grants administration, financial management, or accounting/bookkeeping, preferably in government-funded programs.
- Strong understanding of federal, state, or local grant compliance requirements and financial regulations.
- Experience with accounting systems such as QuickBooks and ERP platforms (e.g., Oracle).
- Solid knowledge of budgeting, payroll tracking, accounts payable/receivable, and financial reporting processes.
- Ability to interpret complex regulatory and grant-related documentation and translate it into operational workflows.
- Strong analytical, organizational, and problem-solving skills with high attention to detail.
- Excellent written and verbal communication skills with the ability to collaborate across cross-functional teams.
- Experience supporting audits, contract management, and compliance documentation is highly preferred.
- Proficiency in Excel and financial reporting tools such as Smartsheet.
