Position Summary
The General Surgery Coordinator is responsible for coordinating and scheduling non-cataract physician ordered surgeries and related procedures for patients. This position serves as the primary liaison between patients, providers, surgery centers, and insurance companies to ensure timely, accurate, and efficient scheduling.
Key Responsibilities
- Contact patients to review surgical orders, discuss available dates, and confirm scheduling.
- Provide patients with detailed pre- and post-operative instructions.
- Ensure patients complete necessary pre-operative testing and medical clearances.
- Answer patient questions regarding surgery logistics, timelines, and preparation.
- Schedule non-cataract ophthalmic surgeries (blepharoplasty, glaucoma procedures, pterygium, ect.), laser procedures, and related appointments.
- Cook up surgery dates with providers and surgery centers to maximize block utilization.
- Maintain accurate surgical logs and update the EMR system with scheduling details.
- Prepare and distribute surgical packets for patients, providers, and surgical facilities.
- Verify insurance coverage and obtain necessary pre-authorizations.
- Communicate patient financial responsibilities, including co-pays and deductibles.
- Ensure compliance with billing and coding requirements.
- Communicate with patients, providers, surgical centers, anesthesia groups, and internal staff.
- Work closely with technicians, billing staff, and surgery center teams to ensure seamless coordination.
- Escalate scheduling conflicts, patient concerns, or unusual circumstances to management promptly.
Qualifications
- Education: High school diploma or equivalent required. Medical office training preferred.
- Experience: Prior experience in medical scheduling, ophthalmology, or surgical coordination strongly preferred.
- Knowledge of ophthalmic surgery procedures and terminology a plus.
- Skills: Strong organizational and time-management skills. Excellent communication and customer service abilities. Proficiency with EMR systems and scheduling software. Detail-oriented with the ability to manage multiple priorities.
Physical & Work Environment Requirements
- Prolonged periods of sitting at a desk and working on a computer.
- Occasional lifting of patient charts or supplies (up to 25 lbs).
- Professional demeanor in a fast-paced medical office setting.
