Essential Duties And Responsibilities
- Establishes uniform correspondence procedures and style practices.
- Executes procedures for systematic retention, protection, retrieval, transfer, and disposal of records.
- Captures and coordinates office operations and procedures such as information management, filing systems, supplies, and other administrative services.
- Composes and prepares correspondence, reports, and other complex documents.
- Maximizes office productivity through proficient use of appropriate software applications.
- Researches and develops resources that create timely and efficient workflow.
- Provides training support services for students such as training media support and training schedule coordination.
- Reviews the TMS download from the LRC, enters TAPR data for student folders, enters critique data, to include Instructor, Device, CRM, and Academic Critiques.
- Fills out student folder data, answers all questions regarding students’ progress, and maintains the transfer of student data between the company and the Air Force.
- Creates and maintains TMS Users’ Guide for all sites.
- Conducts student FTU in processing briefings and collects/distributes course documentation.
- When courses start, enters students into TMS, creates student training folders, permanent student folders, and device folders, creates and distributes student rosters.
- Assembles external critique data (contractual) for each student’s assigned squadron, checks each folder to insure completion to include all TAPR’s , AF Form 63’s, documents all training times, runs itemized student progress report, and runs AF Form 1522 for each graduating student.
- Archives student files in paper and electronic format.
- Monthly collates throughput for Altus and all remote sites.
- Reviews course syllabi for accurate hour breakdown in student folders.
Qualifications And Education Requirements
- High School diploma or equivalent; 2-year degree in administrative field preferred.
- 5-7 years administrative/secretarial experience, with 3-5 years at an advanced executive level.
Preferred Skills
- Must be proficient in Microsoft Excel, PowerPoint, Project, and Word.
- Must be able to effectively deliver oral presentations to management and customers.
- Must be able to work independently, with minimal supervision.
- Must be able to work overtime as required.
- Understanding of military protocols and customs is essential.
Security Responsibilities
- Must comply with all company security and data protection / usage policies and procedures.
- Personally responsible for proper marking and handling of all information and materials, in any form.
- Shall not divulge any information, or afford access, to other employees not having a need-to-know.
- Shall not divulge information outside company without management approval.
- All government and proprietary information will be accessed and stored electronically on company provided resources.
- Incumbent must be eligible for DoD Personal Security Clearance.
Physical Demands
- Work in a regular office environment; communicate via personal computer, telephone and fax.
- Must be able to walk and/or climb stairs and ladder into a simulator or airplane cockpit.
- Must be able to detect odors or hear noises, bangs, etc., or other sounds to detect problems or flaws in the surrounding environment.
