About the role
This position performs data entry, inputs data into a data terminal, and verifies data accuracy. The position also performs other clerical duties to support the functions of the department to which they are assigned.
Responsibilities
- Enter data from various sources, including accounting, statistical, and related documents; input corrections and updates; verify data for accuracy and completeness; assist in the compilation of reports.
- Operate a variety of office equipment, including copiers, facsimile machines, and computers; input and retrieve data and text; organize and maintain digital records; and maintain filing.
- Distribute or file computer printouts; perform various clerical duties in support of department functions.
- Participate in routine recording-keeping duties.
- Communicate with the public and internal city customers using excellent customer service skills. Answer the telephone and assist the public and internal city customers; provide information on departmental and city policies and procedures as required.
- Receive, sort, and distribute incoming and outgoing correspondence.
- Participate in safety and risk management activities; take action to reduce liability to the city.
Requirements
- At least one year of general clerical experience.
- A high school diploma or its equivalent.
- Experience in Accounts Payable is preferred.
Qualifications
- Knowledge of the methods and procedures of data entry.
- Knowledge of modern office procedures, methods, and computer equipment.
- Knowledge of the basic principles of record keeping.
- Knowledge of English usage, spelling, grammar, and punctuation.
- Skill in operating office equipment, including a computer.
- Skill in typing at a speed necessary for successful job performance.
- Skill in maintaining schedules and meeting deadlines.
- Skill in maintaining records and preparing computer-generated reports.
- Skill in communicating clearly and concisely, both orally and in writing.
- Ability to understand and follow oral and written instructions.
- Ability to maintain physical condition is appropriate to the performance of assigned duties and responsibilities, which may include the following: sitting for extended periods of time and operating assigned equipment.
- Ability to maintain effective audio-visual discrimination and perception is needed for: making observations, communicating with others, reading, writing, and operating assigned equipment as required by the position.
- Ability to maintain mental capacity allows for effective interaction and communication with others.
- Ability to establish and maintain effective working relationships with those contacted in the course of work.
- Ability to comply with all city policies and regulations, including safety and risk management standards.
