Marin Community Clinics, founded in 1972, is a multi-clinic network providing integrated primary care, dental, behavioral, specialty and referral services. As a Federally Qualified Health Center (FQHC), we serve nearly 40,000 individuals annually in Marin County and receive national awards from HRSA. The Front Office Receptionist greets and registers scheduled and unscheduled clients, ensuring a welcoming experience in the reception area.
Responsibilities
- Greet, welcome, and assist clients entering the waiting room; process appointments and notify clients of expected wait times.
- Answer inquiries about general clinic information while maintaining a professional demeanor.
- Answer incoming calls, provide assistance, make appointments, route calls, and provide needed information.
- Call clients to confirm next-day appointments and perform cancellations or rescheduling as needed.
- Process walk-in appointment requests according to established procedures.
- Provide alternative medical service information for new clients who cannot be seen due to scheduling constraints.
- Accurately enter and confirm billing and demographic data in the Practice Management System during check-in; capture vital demographic data and authorized signatures.
- Verify client arrival timeliness and collect new patient private pay deposits.
- Document clearly on the superbill and prepare charts and superbills for appointments for both new and established clients in advance.
- Assist nurses by acting as a resource for overflow calls to nurse extensions; take detailed messages and route them in a timely manner.
- Handle patient payments and reconcile receipts and charges accurately.
- Maintain the patient waiting room in a clean and orderly condition; inform staff of needed repairs or maintenance.
- Schedule and maintain appointments in the Practice Management System, including phone requests and during client discharge.
- Inform patients being scheduled about payment obligations, required documentation, and clinic policies and procedures.
- Maintain control of daily superbill copies and submit them to the supervisor for reconciliation with Master Superbill Control Sheets.
- Call patients to make follow-up appointments or mail out letters per provider request.
- Transfer calls to internal extensions or page overhead to locate recipients; page staff as necessary.
- Perform Care Team responsibilities as outlined in Care Team Patient Centered Medical Home procedures.
- Perform other duties as assigned.
Qualifications
- High School Diploma or Equivalent (GED) required.
- Some college education highly desired.
- Bilingual in English and Spanish required.
- 1 year work experience in a hospital setting or fast-paced private practice preferred.
- 1–2 years prior experience in a clerical front office receptionist position.
- Prior experience in a customer service-oriented environment highly desired.
Required Skills and Abilities
- High level of initiative, attention to detail, and ability to follow through on assignments independently to completion.
- Excellent communication and interpersonal skills.
- Ability to communicate effectively in English and Spanish in person and over the phone.
- Basic knowledge of Microsoft Office/Outlook (Excel, Word, PowerPoint) and ability to use a computer.
- Active listening and asking questions to determine patient and visitor needs.
- Professionalism when communicating with patients and visitors.
- Ability to multitask in a fast-paced clinic setting.
- Ability to train other staff members as needed.
- Ability to work in a team environment.
- Ability to complete tasks efficiently and correctly; strong organizational skills and attention to detail.
- Ability to use office equipment such as postal meters, faxing/scanning equipment.
- Ability to work evenings or weekend shifts as needed.
- Excellent reliability and dependability.
Physical Requirements and Working Conditions
- Fulfill immunization and fit-for-duty regulatory requirements.
- Prolonged periods of sitting at a desk and working on a computer; use of mouse, keyboard, and headset.
- Moderate to loud noise and intermittent interruptions.
- Ability to lift up to 15 pounds at times.
Schedule
- Monday & Tuesday: 8:15 am – 5:15 pm
- Thursday: 10:00 am – 7:00 pm
