Responsibilities
- Performs clerical duties and recordkeeping functions to assist the administrative team.
- Maintains confidentiality of facility information and records.
- Answers the phone, takes accurate messages, and delivers them to the appropriate staff.
- Types and proofreads reports, letters, and correspondence for staff as needed.
- Develops and maintains cooperative rapport with all facility personnel.
- Processes mail, answers telephones, and ensures proper procedures are followed.
- Assists with various administrative tasks and sets priorities to meet deadlines.
- Maintains office equipment and ensures supplies are readily available and working.
- Programs the telephone system, sends and receives faxes, and ensures the postage machine is functioning.
- Orders and tracks office supplies and deals with vendors.
- Organizes, implements, and maintains the accounts payable process.
- Monitors accounts payable aging and informs the Administrator of any potential vendor problems.
- Plans for the preparation, review, and submission of financial reports and general financial conditions to management.
Qualifications
- Ability to read, write, and follow written and oral directions in English.
- Ability to type at least 40 wpm with accuracy, perform simple math problems, and handle multiple tasks simultaneously.
- Ability to answer the phone and handle heavy phone contact in a pleasant and efficient manner.
- Discerns and maintains confidential information.
- Demonstrates cooperation in assisting others and ability to work as a team.
- Patience, tact, enthusiasm, and a positive attitude toward staff, residents, and their support networks.

- Administrative Functions:
- Greets and assists residents, visitors, vendors, and job applicants in a professional and courteous manner.
- Processes mail, answers telephones, accurately records messages, and responds to inquiries.
- Takes and types reports, letters, and correspondence for staff as needed.
- Maintains databases and lists of resident personal information.
- Prepares admission packets and ensures distribution to appropriate departments.
- Affords assistance to other facility staff and ensures deadlines are met.
- Maintains cleanliness and availability of office equipment and supplies.
- AP (Accounts Payable) Functions:
- Organizes, implements, and maintains the accounts payable process.
- Monitors accounts payable aging and informs the Administrator of any potential vendor problems.
- Plans for the preparation, review, and submission of financial reports and general financial conditions to management.
- Develops and maintains rapport with vendors in a courteous manner.
- Accurately accounts for the residents' needs accounts and plans for petty cash needs.
- Plans, monitors, and maintains adequate supply of forms, materials, and supplies.
