Greeting and Service

Greets callers and in-office patients warmly and provides courteous service. Understands the importance of being the first point of contact for patients at the practice.

Responsibilities

  • Handles calls and in-person interactions with sound judgment, especially regarding sensitive medical information.
  • Answers calls within three to four rings.
  • Adds and updates demographics and insurance information for patients thoroughly and accurately.
  • Schedules patients and checks them in, confirming, canceling, rescheduling, and updating appointments as needed.
  • Maintains and updates scheduling systems to ensure patient records are accurate and complete.
  • Communicates with providers and staff about patient concerns and issues.
  • Consults with the office manager about system problems.
  • Communicates with other medical offices as needed (faxing patient medical records, etc.).
  • Addresses patient concerns efficiently and effectively.
  • Uses customer service principles and techniques to handle patients calmly and pleasantly.
  • Performs other clerical duties as assigned by the office manager/administrator.

Qualifications

  • Self-starter with the ability to complete tasks independently.
  • Effective communicator with patients or providers about scheduling preferences.
  • Ability to multitask and manage multiple tasks/projects simultaneously.
  • Analyzes situations and responds appropriately.
  • Skilled in using a multi-line phone system, including transferring calls.
  • Speaks clearly and concisely to callers and patients.
  • Excellent organizational and time management skills.
  • Strong interpersonal and problem-solving abilities to ensure coordinated efforts and patient satisfaction.
  • Maintains a professional and positive attitude.
  • Common computer skills.
  • Team player who supports fellow care team members and is flexible when necessary.

Education and Experience

  • High school diploma or GED (required).
  • Associates or Bachelor's Degree (preferred).
  • Two to three years of medical office experience, preferably in a fast-paced, high patient volume environment.
