Greeting and Service
Greets callers and in-office patients warmly and provides courteous service. Understands the importance of being the first point of contact for patients at the practice.
Responsibilities
- Handles calls and in-person interactions with sound judgment, especially regarding sensitive medical information.
- Answers calls within three to four rings.
- Adds and updates demographics and insurance information for patients thoroughly and accurately.
- Schedules patients and checks them in, confirming, canceling, rescheduling, and updating appointments as needed.
- Maintains and updates scheduling systems to ensure patient records are accurate and complete.
- Communicates with providers and staff about patient concerns and issues.
- Consults with the office manager about system problems.
- Communicates with other medical offices as needed (faxing patient medical records, etc.).
- Addresses patient concerns efficiently and effectively.
- Uses customer service principles and techniques to handle patients calmly and pleasantly.
- Performs other clerical duties as assigned by the office manager/administrator.
Qualifications
- Self-starter with the ability to complete tasks independently.
- Effective communicator with patients or providers about scheduling preferences.
- Ability to multitask and manage multiple tasks/projects simultaneously.
- Analyzes situations and responds appropriately.
- Skilled in using a multi-line phone system, including transferring calls.
- Speaks clearly and concisely to callers and patients.
- Excellent organizational and time management skills.
- Strong interpersonal and problem-solving abilities to ensure coordinated efforts and patient satisfaction.
- Maintains a professional and positive attitude.
- Common computer skills.
- Team player who supports fellow care team members and is flexible when necessary.
Education and Experience
- High school diploma or GED (required).
- Associates or Bachelor's Degree (preferred).
- Two to three years of medical office experience, preferably in a fast-paced, high patient volume environment.
