About the role

The Front Desk Coordinator I position at Smile Doctors is a key role within the organization, focusing on providing exceptional customer service and administrative support.

Responsibilities

  • Greets and receives customers, determines nature of visit, and notifies appropriate team member(s).
  • Performs various administrative duties.
  • Welcomes visitors to the practice and provides information about clinic features.
  • Answers, screens, and routes incoming calls and takes messages as needed.
  • Checks-in and collects general information from patients on their first visit.
  • Verifies insurance information.
  • Notifies clinicians of patient arrival and readiness.
  • Makes appointments for returning patients as necessary.
  • Prints/reprints appointment reminders and school/work excuses.
  • Makes changes to the patient schedule as necessary.
  • Captures and coordinates payment arrangements or account resolution.
  • Receives, stores, and delivers shipments and mail.
  • Takes payments and posts to account.
  • Updates charts and patient information.
  • Drives internal marketing initiatives and fosters participation from everyone.

Requirements

  • Basic knowledge of Microsoft Office.
  • Ability to communicate effectively verbally and in writing.
  • Ability to listen and understand information verbally and in writing.
  • Ability to establish and maintain good working relationships with patients and coworkers.
  • Bi-lingual with English and another language required (Russian preferred).
