Front Desk Administrative Assistant

About the role

Atherton & Associates, LLP, a century-old firm in Modesto, California, is seeking a Front Desk Administrative Assistant to join our administrative team. We serve a diverse client base, including agriculture, food processing, real estate, transportation, manufacturing, warehousing, and medical industries, providing tax planning, estate planning, accounting, auditing, and business advisory services. Responsibilities

  • Perform routine clerical, reception, and administrative duties, including filing, word processing, copying, and scanning.
  • Answer and route calls professionally, take accurate messages, and screen calls for solicitors.
  • Assist clients, vendors, and staff at the front counter with excellent customer service.
  • Operate standard office equipment, including computers, phones, fax machines, copiers, and scanners.
  • Schedule staff meetings, client appointments, and coordinate internal/external meetings and webinars, including preparing meeting materials.
  • Order lunches for meetings, set up partner lunches, and handle cleanup.
  • Support office activities, such as stocking water bottles, replenishing copy machine paper, collecting coffee mugs, and loading/unloading the dishwasher.
  • Replenish and restock break room supplies.
  • Assist the administrative team with projects and day-to-day activities.
  • Perform other duties as assigned.

Requirements

Knowledge of:

  • Modern office procedures and equipment.
  • Word processing, 10-key, and data entry.
  • Basic math skills and customer service principles.

Ability to:

  • Understand and carry out verbal and written instructions independently.
  • Prioritize tasks with exceptional organization and time-management skills while multitasking.
  • Work in a fast-paced environment with high attention to detail.
  • Use correct English grammar, spelling, and punctuation for written and oral communication.
  • Learn and apply current/new office policies and procedures.
  • Maintain security and confidentiality of records and information.
  • Establish and maintain effective work relationships with a positive, helpful, and cooperative demeanor.
  • Maintain a professional appearance and demeanor at all times.
  • Maintain regular, consistent, and punctual attendance, adhering to all firm policies.

Qualifications

  • High school diploma or equivalent.
  • One year of office experience or related experience, including multiline telephone use.
  • Proficient in Microsoft Word, Excel, and Outlook.
  • Typing speed of at least 40 WPM.
  • Ability to pass a background check, including criminal, credit, employment, and education verification.
  • Ability to work overtime during peak periods as necessary.
  • High level of self-motivation; ability to work well with or without supervision.
  • Required work authorization.

Pay

$21 - $24 per hour, depending on experience.
