Essential Duties and Responsibilities
- Retrieves messages from voice mail and forwards to appropriate personnel.
- Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department.
- Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.
- Answers questions about organization and provides callers with address, directions, and other information.
- Welcome on-site visitors, determines nature of business, and announces visitors to appropriate personnel.
- Receives, sorts, and routes mail, and maintains and routes publications and other literature requested by customers and sales reps.
- Maintains fax machines, assists users, sends faxes, and retrieves and routes incoming faxes.
- Performs other clerical duties as needed, such as filing, photocopying, collating and scanning.
- Orders food and organizes small luncheons and meetings.
- Enters orders and adds prospective customer information in Live Product.
- Monitors generic sales email inbox and responds to/forwards emails appropriately.
Requirements
- Educational requirement: High school diploma or GED; or 1-3 months related experience/training; or equivalent combination.
- Experience: 1-3 months related experience/training; or equivalent combination.
- Language Skills: Read, write, and communicate simple instructions and correspondence; present information in small group settings; Spanish and English strongly preferred.
- Math Skills: Basic arithmetic, fractions, decimals, rate, ratio, percentage calculations, and bar graph interpretation.
- Physical Demands: Regularly sit, talk, and hear; Frequently use hands for handling and reaching; Occasionally stand, walk, stoop, kneel, crouch, or crawl; Lift/move up to 10 lbs frequently, up to 25 lbs occasionally; Ability to multi-task.
