About the role

Sensei Lāna’i, A Four Seasons Resort is seeking a Food & Beverage Administrative Assistant who can provide comprehensive clerical and administrative support to the Food & Beverage and Culinary Departments across all outlets. This role supports efficient daily operations, assists leadership with administrative tasks, and ensures full compliance with Four Seasons policies, standards, and brand expectations.

Responsibilities

  • Prepare, process, and manage a high volume of correspondence, reports, letters, memoranda, and incoming mail
  • Review, route, track, and coordinate responses; record, distribute, and maintain departmental and divisional meeting minutes using multiple systems
  • Maintain and organize departmental files, policies, standards manuals, schedules, and calendars for Food & Beverage and Kitchen Division leadership
  • Ensure timely updates and accurate distribution of documents in compliance with departmental and brand standards
  • Support special projects and operational initiatives, including mailings, competitive surveys, menu support, breakage tracking, and ad hoc requests
  • Cover inventory, supplies, and purchasing functions, including maintaining inventory levels, receiving and storing deliveries, and tracking outstanding items
  • Create, process, and follow up on Purchase Orders (POs) through BirchStreet
  • Manage payroll and employee administration, including daily ADP audits and bi-weekly payroll processing
  • Oversee daily operational and food safety oversight, including Critical Control Point (CCP) checks such as temperature logs, walk-in and low-boy inspections, and verification of cleaning and sanitization practices

Requirements

The successful candidate must possess legal work authorization in the United States. The hospitality business operates 7 days a week, 24 hours a day, and scheduled days and times may vary based on need. Holidays and weekends availability is required. The Hawaii State Department of Health requires a Tuberculous (TB) clearance card, and a Food Handler’s Card is required for this role. The candidate should have working knowledge of computer systems, with experience in word processing and spreadsheet programs.

Qualifications

Successful candidate must have a high school diploma or equivalent. Previous experience in a similar role is preferred. Proficiency in Microsoft Office Suite is required. Knowledge of hotel operations and food service industry is beneficial.

Skills

Excellent communication and organizational skills are essential. The ability to multitask and prioritize tasks effectively is crucial. Attention to detail and strong problem-solving abilities are also important.
