About the role

The Fleet Parts Coordinator ensures the timely movement of parts and equipment in and out of the parts department, supporting repair and service operations.

Responsibilities

  • Maintain accurate stock levels of parts, equipment, and fluids to meet repair and service needs
  • Source parts from vendors, negotiate pricing and delivery terms, and coordinate with service departments to meet repair schedules
  • Assist service technicians in identifying correct parts using parts catalogs and other resources
  • Write purchase orders, issue parts to technicians, and update inventory control systems according to company guidelines
  • Receive incoming parts, inspect for accuracy and damage
  • Manage returns of defective parts and process warranty claims in compliance with company policy
  • Keep the parts area clean, organized, and aligned with company standards
  • Pick up and deliver parts from vendors as needed; coordinate special orders or recalls
  • Perform cycle counts, report discrepancies, and prevent loss
  • Follow all safety rules, company policies, and industry regulations
  • Other duties as assigned

Requirements

  • High school diploma or GED equivalent
  • Demonstrated proficiency in Microsoft Office (Outlook, Word, Excel)

Preferred Qualifications

  • Strong organizational and computer skills for inventory systems
  • Understanding of mechanical and technical terms related to the equipment or vehicles served
  • Excellent customer service and communication skills
  • Ability to multitask and work efficiently in a fast-paced environment
  • Prior experience in a parts department or related role
  • Ability to drive or learn to drive a forklift

Working Conditions

The role involves exposure to unpleasant physical environments, including high noise levels, strong odors, heat, cold, biohazardous conditions, and toxic or caustic chemicals. Safety precautions are mandatory. Occasional travel to offsite locations is required.

  • Constantly (at least 51% of the time): Sit, walk, use hands to handle or feel, stoop/kneel/crouch/crawl, climb/balance, talk/hear/taste/smell
  • Frequently (21% to 50% of the time): Lift up to 50 pounds
  • Occasionally (up to 20% of the time): Lift up to 100 pounds

Vision requirements include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
