Fleet Parts and Operations Coordinator

About the role

The Fleet Parts and Operations Coordinator supports fleet operations by coordinating parts, work orders, and maintenance scheduling to improve equipment uptime, control costs, and ensure timely, responsive service through collaboration with fleet teams, vendors, and operations.

Responsibilities

• Order fleet parts based on maintenance and operational needs.
• Source parts for technicians and Heavy Field Service.
• Procure parts for rental and on-highway equipment.
• Expedite urgent parts pickups to minimize downtime.
• Open, update, and manage work orders for fleet maintenance and repairs.
• Schedule fleet repairs and preventive maintenance with internal shops and vendors.
• Receive and allocate parts to work orders for accurate cost tracking.
• Process cores to ensure proper return and credit.
• Manage parts returns and core recovery with suppliers.
• Track outstanding returns to ensure timely credit.
• Resolve discrepancies with vendors.
• Support fleet operations and field teams daily.
• Aid technicians with parts sourcing and coordination.
• Cook up with vendors to resolve issues quickly.
• Support standardized processes across fleet operations.
• Identify opportunities to improve efficiency and reduce downtime.
• Perform other duties as assigned.

Requirements

• A High School Diploma or equivalent.
• 1+ years of fleet, parts, or maintenance support experience.
• 3+ years of fleet, parts, or maintenance support experience preferred.
• Strong organizational and time management skills.
• Strong verbal and written communication skills.
• Proficiency in Microsoft Office; ERP experience preferred.
