Fleet Coordinator
About the role
KLX Energy Services is seeking a detail-oriented and organized Fleet Coordinator to support our fleet operations and Fleet/DOT compliance activities in Oklahoma City.
Responsibilities
- Maintain current registrations, titles, permits, and related documentation for commercially registered vehicles and equipment
- Prepare and file IFTA reports in compliance with state and federal requirements
- Manage IRP registrations and annual renewals for company vehicles
- Aid with DOT and FMCSA compliance activities to help ensure company operations meet federal and internal requirements
- Support vehicle maintenance tracking, reporting, and data entry within fleet management systems
- Perform data auditing and reconciliation using Microsoft Excel to ensure accuracy and compliance
- Cook up and coordinate compliance documentation for tractors, trailers, pickups, and other fleet equipment
- Aid with DOT audits, inspections, and recordkeeping activities
- Support field management and operations personnel with fleet and compliance-related administrative needs
- Monitor and organize vehicle files, inspection records, permits, and compliance documentation
- Communicate with internal personnel regarding compliance requirements, documentation, and deadlines
- Perform general administrative and office support duties as assigned
Requirements
- High school diploma or GED equivalent preferred
- 0–2 years of administrative, fleet, transportation, compliance, or related experience
- Proficiency with Microsoft Office applications, including Excel, Outlook, and Word
- Strong organizational skills and attention to detail
- Ability to prioritize tasks and manage multiple responsibilities effectively
- Strong verbal and written communication skills
- Valid driver’s license with an acceptable driving record
- Ability to work effectively with personnel at various levels of the organization
Qualifications
- 2+ years of experience supporting DOT, FMCSA, transportation, or fleet compliance activities
- Familiarity with Electronic Logging Devices (ELD) systems and reporting
- Previous experience supporting field operations or oilfield service environments
- Experience assisting with DOT inspections, audits, or compliance documentation
Physical Requirements
- Ability to sit for extended periods while working in an office environment
- Use a computer, telephone, and other standard office equipment
- Occasional lifting, filing, or movement of office materials and records
- Occasional travel or company driving may be required
