Fleet Coordinator
DSG is seeking a Fleet Coordinator in our Saint Paul, MN location. The position is full-time, hourly, with typical hours between 8am and 5pm, Monday through Friday, though schedules may vary based on business needs.
Responsibilities
- Support the logistics team by documenting the lifecycle of road and warehouse assets, ensuring safety, compliance, and equipment maintenance.
- Document and track necessary vehicle registrations, titles, and plate renewals, while navigating DMV requirements.
- Analyze fuel card usage data to monitor for accurate utilization.
- Compile and submit accurate and timely regulatory reports for DOT compliance (IFTA, HVUT, MCS-150, UCR).
- Track leases and mileage on non-DSG-owned equipment and assist with communication between external vendors and internal stakeholders.
- Monitor for unscheduled downtime and corrective maintenance costs through oversight of scheduled maintenance agreements.
- Audit and track the status of onboard equipment and essential documentation across the fleet, resolving gaps to ensure 100% operational readiness.
- Maintain an accurate master asset list for all road and warehouse assets.
- Produce and distribute monthly reports, including leased equipment mileage, fuel spend, maintenance frequency and cost, and overall fleet utilization.
- Transform raw data into actionable insights to propose improvements to the overall efficiency of asset spend and utilization.
- Participate in post-incident reviews with DSG’s Safety & Compliance Manager.
- Submit and manage insurance claims related to vehicle and equipment incidents when appropriate, maintaining detailed records of required follow-up actions.
Qualifications
- Exceptional organizational skills and attention to detail.
- 1+ years in logistics coordination, fleet management, or relevant high-volume administrative operations.
- High proficiency in Microsoft Excel, including VLOOKUPs, pivot tables, and data visualization tools.
- Prior experience with Fleet Management Software (FMS) or other telematics platforms.
- Working knowledge of DOT regulations and IFTA reporting requirements.
- Familiarity with project management and routing tools such as Smartsheet, Elite EXTRA, or EDA.
- Exposure to Motive or similar electronic logging devices.
- Commitment to workplace safety.
