About the role

Mansfield Service Partners is seeking a Fleet Administrator to join our team in Houston, TX. This position is ideal for individuals with early career experience in administration, transportation, logistics, or a similar field who are organized, detail-oriented, and eager to take on more responsibilities.

Responsibilities

  • Cook up administrative setups for new vehicles and equipment, like fuel cards, insurance, decals, telematics, registration, and necessary paperwork.
  • Enter and update accurate vehicle and equipment info in fleet management systems.
  • Collaborate with internal teams, operating sites, dealers, and vendors to gather data and follow up on pending matters.
  • Keep fleet files, driver/permit books, and other essential documents updated.
  • Handle vehicle title and registration coordination via the company's third-party provider.
  • Process approved purchase orders and assist with vendor setup and invoice reviews.
  • Support fleet reporting, audits, recordkeeping, and special projects.

Requirements

  • One (1) year of experience in an administrative, coordination, or records management role within a documentation-heavy environment.
  • Strong organizational and attention to detail skills.
  • Ability to juggle multiple tasks, deadlines, and follow-ups.
  • Working knowledge of Microsoft Excel, including filtering, sorting, and basic formulas.
  • Excellent written and verbal communication skills.
  • Comfortable learning and working in various computer systems.

Preferred (not required)

  • Previous experience in fleet, transportation, logistics, automotive, or equipment operations.
  • Experience with Fleetio, Samsara, SkyBitz, or similar systems.
  • Experience with purchase orders, invoices, vehicle documentation, or vendor coordination.
  • Bilingual English/Spanish proficiency.
