What You'll Do
- Schedule and track routine maintenance, inspections, and repairs.
- Aid in the acquisition and disposal of fleet vehicles.
- Monitor and report on fleet performance metrics like utilization, fuel efficiency, and downtime.
- Maintain compliance with DOT, OSHA, and other regulatory requirements.
- Coordinate with vendors, service providers, and internal departments.
- Process invoices, purchase orders, and expense reports related to fleet operations.
- Support driver onboarding and training documentation.
- Respond to inquiries from drivers and management regarding fleet policies and procedures.
- Maintain accurate records for registrations, titles, IFTA, and annual inspections.
- Enforce adherence to Fuelman policies and ensure compliance with DOT, CARB, WAIRE, and other federal/state regulations.
- Oversee Samsara and HOS systems; track KPIs and leading indicators to drive continuous improvement.
- Support Samsara training for Branch Managers and assist with incident investigations (EHS leads) and DOT failure reviews (Fleet leads) – limited training capacity.
- Oversee driver phone inventory and respond to service requests – recommend move to IT support.
What You'll Bring
- A high school diploma or equivalent; an associate or bachelor’s degree preferred.
- Two or more years of experience in fleet administration, logistics, or a related field.
- Proficiency in Microsoft Office Suite and fleet management software.
- Strong organizational and communication skills.
- The ability to multitask and prioritize in a fast-paced environment.
- Knowledge of vehicle maintenance and regulatory compliance is a plus.
Preferred Skills
- Experience with GPS tracking systems and telematics.
- Familiarity with DOT regulations and fleet safety standards.
- An analytical mindset with attention to detail.
