About the Role

The Fixed Asset Specialist supports the General Services Department by assisting in the tracking, tagging, inventory, and disposal of the City’s fixed assets. This position helps maintain accurate asset records in systems such as SAP and supports both office and warehouse operations. The ideal candidate is detail-oriented, organized, comfortable learning computer systems, and able to work in both administrative and warehouse environments.

Responsibilities

  • Tag and track new assets, ensuring accurate and sequential assignment of inventory numbers
  • Maintain and update asset records in SAP, Excel, Smartsheet, and related systems
  • Support warehouse operations, including receiving, organizing, and storing assets and surplus items
  • Conduct scheduled and periodic physical inventories across facilities and reconcile discrepancies
  • Identify and document missing, lost, or stolen assets and help resolve inventory issues
  • Process transfers, surplus, salvage, disposal, and retirement of assets and equipment
  • Prepare routine reports such as asset listings, inventory summaries, and transaction logs
  • Ensure compliance with City policies, procedures, and recordkeeping standards
  • Communicate with departments regarding asset updates, inventory activities, and documentation needs
  • Receive newly acquired vehicles and ensure proper tagging, documentation, and system entry
  • Track vehicle assignments and maintain current assignment and key issuance records
  • Monitor and record vehicle repairs, maintenance activity, and related cost information
  • Coordinate vehicle tracking, including GPS/telematics updates and system oversight
  • Process scrapping, salvaging, and retirement of vehicles following City guidelines
  • Assist with managing surplus vehicles for auction, disposal, or transfer

Working Conditions

This position may involve routine exposure to soiled materials and light chemical substances such as cleaning solutions.

Requirements

  • Associate's degree in Materials Management, Business Administration, Accounting, or a closely related field
  • One year of experience in inventory control or materials management
  • Two years of responsible experience in inventory control/materials management may substitute for the degree requirement

Preferences

Preference shall be given to eligible veteran applicants provided such persons possess the qualifications necessary for competent discharge of the duties involved in the position applied for, such persons are among the most qualified candidates for the position, and all other factors in accordance with Executive Order 1-6.

Pay

Pay Grade 13. Factors used in determining the salary offered include the candidate's qualifications as well as the pay rates of other employees in this classification.
