Position Objective

The Finance Director is responsible for establishing and maintaining the organization’s accounting and financial principals, practices, procedures and initiatives; establishing and maintaining prudent financial controls; and ensuring compliance with the organization’s contractual agreements; grants and government regulations; day to day bookkeeping and accounting processes including accounts payable, accounts receivable, journal entries and bank reconciliation in accordance with GAAP (Generally Accepted Accounting Principles) and Habitat for Humanity’s Financial Policies and Procedures Affiliate Operations Manual.

Duties and Responsibilities

  • Supervise the Accounting Assistant/HR Coordinator
  • Work collaboratively with staff to maintain a positive, supportive, and mission-focused work culture
  • Demonstrate a high level of professionalism in dealing with confidential and sensitive issues
  • Partners with COO and CEO on HR and compliance
  • Staff liaison to Finance Committee
  • Responsible for all QuickBooks (QB) functions
  • Ensure the timely processing and payments of all invoices and enter them into QB
  • Manage invoice inquiries as needed
  • Prepare bank deposits and reconcile bank accounts
  • Use QuickBooks to maintain details of homeowner mortgage payments
  • Prepares payroll service with bi-weekly payroll information, uploads NACHA payroll files to the bank, and posts payroll to QB
  • Other duties as assigned by CEO, COO, or Finance Committee

Financial Operations

  • Oversees timely and accurate payroll process
  • Oversees accuracy and maintenance of QB
  • Writes organizational checks
  • Responsible for all ACH functions: deposits into bank account, reclass entries in QB
  • Responsible for printing monthly credit card statements and entering receipts into QB
  • Oversees all aspects of the general ledger and monthly updates
  • Oversees preparation of the monthly financial statements, balance sheets, cash flow, profit and loss statements, and other financial operating reports as requested by the Finance Committee, Board of Directors, COO, or CEO
  • In conjunction with department directors, prepares organizational budgets for review with the COO and CEO, and submits to the Finance Committee
  • Produces monthly budget vs. actual reports, year-to-date
  • Leads the annual audit process and manages reports required and requested by auditors. Oversees submissions from staff to auditors.
  • Responsible for making sure that all financial deadlines are met, such as insurance renewals, subcontractor COl tracking and reporting, and payment of sales tax.
  • Generates 1099s and 1096s and maintains vendor profiles
  • Posts all recurring payments into QB
  • Process annual Tithe payment with Executive Director
  • Reconciles QB with bank reporting for mortgage balances monthly
  • Work with Philanthropy Director to tie out Donor database to QB
  • Work with ReStore Director to reconcile sales and sales tax for ReStore

Treasury

  • Maintain the organization’s bank accounts, servicing of the organization’s loans, and banking relationships
  • Manage the organization’s accounts payable and receivables
  • Oversee the management of cash
  • Care for accelerated asset recovery processes

Compliance

  • Maintains 501(C)3 status by filing reports and payments
  • Ensure financial compliance with the organization’s commitments related to grants, loans, and other contractual obligations
  • Ensure compliance with Federal, State and Local laws related to the organization’s financial management
  • Facilitate the filing of any required governmental reports
  • Manage the Form 990 tax filing and the relationship with the audit firm
  • Oversee tracking of restricted funds and funding positions of builds with Philanthropy Director.
  • Monitor compliance with document retention
  • Update W-9’s and Col’s in QB
  • Responsible for ReStore monthly sales tax entries into QB and filing
  • Care for bank signature cards for new Board officers and/or appropriate staff

Interdepartmental Support

  • Prepares and records all construction job costs by address and annual average home cost; reviews with Family Services Director and Construction Director
  • Work with ReStore Director to develop, implement, and monitor financial controls at the ReStore
  • Provide and record financial reports monthly
  • Prepare financial documentation for special events and grant funders with the Development Director
  • Prepares gift-in-kind costs annually with all staff

Qualifications

  • Knowledge of Generally Accepted Accounting Principles. Knowledge of construction accounting and non-profit accounting is a plus
  • Proficiency with QuickBooks accounting software
  • Proficiency with Microsoft Office programs
  • Strong analytical, quantitative, problem-solving, and technical skills
  • Associate degree or Bachelor’s degree in accounting preferred
  • Understanding of and commitment to Greater Green Bay Habitat for Humanity Mission

Pay

$65,000.00 per year
