About the Role
The School Health Alliance for Forsyth County (SHA), a 501(c)(3) non-profit, seeks an administrative professional to establish and maintain finance, business, and administrative operations. This position oversees school-based health centers in Winston-Salem/Forsyth County Schools (WS/FCS), operated by staff and faculty from Wake Forest University School of Medicine (WFSM) Department of Family and Community Medicine. The role is grant-funded.
Responsibilities
Finance Operations
- Develop the annual SHA budget for review by the Executive Director and approval by the SHA Board of Directors.
- Independently prepare and compile financial reports, presenting them to the SHA Board of Directors quarterly.
- Perform day-to-day budget management of assigned SHA funds.
- Manage the flow of administrative and operational funding, including invoicing contracting agencies and paying vendors in a timely manner.
- Assist the SHA Executive Director in reviewing local contracts and School System reimbursement contracts for financial accuracy and compliance.
- Monitor SHA expenditures on grants and departmental accounts; approve requisitions and vouchers in accordance with SHA procedures.
- Maintain financial reporting requirements to uphold SHA’s 501(c)(3) status using QuickBooks Pro Edition.
- Oversee the annual independent audit of SHA, providing all necessary financial records and documentation.
- Coordinate with SHA’s external accountant to ensure annual tax filings.
- Establish financial projections by examining past and future expenditures; review financial information with the Executive Director.
- Develop proposed budgets for grant applications based on funding agency parameters and ensure accuracy before submission.
- Prepare required financial reports for grantors post-award and review expenditures for coding accuracy and compliance.
- Review monthly billing and reconciliation statements from the FQHC partner for accuracy and resolve discrepancies.
Business Operations
- Oversee SHA’s business operations, serving as a liaison to contractual clerical staff, WFSM departments, grant agencies, and other stakeholders.
- Make operational decisions in accordance with SHA, institutional, and partner FQHC policies.
- Arrange, implement, and participate in SHA conferences, committee, and Board meetings, providing minutes and staff support.
- Assist in public relations and marketing activities to inform the public and community agencies about SHA.
- Manage correspondence, including screening, reviewing, and originating responses related to duties.
- Interface with SHA staff (Patient Service Representatives, APPs, Licensed Behavioral Health Providers) to address inquiries and provide information.
- Collaborate with SHA leadership to establish office procedures and address site-specific problems.
- Order equipment and medical supplies for SHA sites in accordance with the budget and Executive Director approval.
- Coordinate and manage maintenance contracts for all SHA clinic sites, including contract negotiations upon renewal.
- Work with the FQHC partner to establish policies and procedures for patient data transmission and storage, ensuring HIPAA compliance.
- Coordinate required annual clinic audits with the FQHC partner and external auditor.
- Orient new SHA team members and develop training schedules in collaboration with the SHA Clinical Manager.
Research
- Collaborate with the Principal Investigator and SHA evaluation team on research protocols.
- Organize data collection and troubleshoot questions from the SHA evaluator.
- Develop and submit data-related reports to funders, with review by the Principal Investigator/Executive Director.
Clinical Operations
- Act as a liaison to lab vendors or contractors to resolve patient billing discrepancies.
- Perform other related duties incidental to the work described.
Requirements
- Bachelor’s degree in Business, Accounting, or a related field with three years of grant-related accounting experience; or an equivalent combination of education and experience.
- Computer skills, including the ability to develop financial spreadsheets.
- Experience related to research projects preferred.
