About the role
The Finance Coordinator supports the Assistant Director of Finance with the day-to-day administrative, transactional, and reporting work that keeps the property-level finance function running accurately.
Responsibilities
- Support the property team in preparing and routing invoices to Accounts Payable, ensuring documentation is complete and accurate before submission.
- Support the month-end close calendar by gathering, organizing, and delivering source documents to the Accounting team on schedule.
- Maintain organized filing systems for financial documents, contracts, and supporting records at the property level.
- Aid the Assistant Director of Finance with scheduling, correspondence, and administrative tasks related to the finance function.
- Prepare and distribute guest and group billing backups and invoices accurately and on time.
- Follow up on outstanding city ledger accounts and communicate status to the Assistant Director of Finance.
- Reconcile daily cashier and front-office deposits against PMS reports before forwarding to Accounting, resolving discrepancies at the property level.
- Pull and compile daily flash, STR, and USALI-formatted reports for review by the Assistant Director of Finance.
- Aid the Assistant Director of Finance with updates to forecasts, budgets, and monthly financial reports.
- Ensure all reports are accurate, formatted correctly, and delivered on the schedule required by the finance team.
Qualifications
- Bachelor’s degree in accounting, business, or a related field preferred; Associate’s degree or equivalent combination of education and experience considered.
- One to two years of bookkeeping, accounting, or accounting-support experience; hospitality experience a plus.
- Proficiency in Microsoft Excel required; exposure to property management systems and accounting software a plus.
- Strong attention to detail and demonstrated ability to manage confidential financial data with discretion.
- Clear written and verbal communication skills; ability to coordinate across finance, accounting, and operational teams.
- Organized and deadline-driven; able to manage recurring tasks and document flows without close supervision.
Physical Capabilities
- Prolonged periods of sitting at a desk and working on a computer, typically throughout the duration of a standard workday.
- Ability to operate standard office equipment including a computer, keyboard, mouse, monitor, and telephone with a high degree of speed and accuracy.
- Ability to read, review, and process written materials, financial reports, and digital records with sustained concentration and accuracy.
- Ability to move between workstations, offices, and meeting spaces within the workplace as needed.
- Occasional lifting or carrying of files, binders, or office supplies up to 15 pounds.
