The Role

Anthos|Home is seeking a highly skilled and detail-oriented Finance and Administration Specialist to join our dynamic team. Reporting directly to the Finance and Administration Supervisor, this pivotal role is responsible for overseeing the organization's contractual, financial, and administrative functions with a high degree of accuracy and professionalism.

Key Responsibilities

  • Contract Lifecycle Management: Draft, review, and facilitate the execution of agreements with property owners, brokers, and external vendors, ensuring compliance, accuracy, and timeliness. Maintain comprehensive records of all contractual documents, amendments, and key milestones, leveraging organizational systems to monitor deadlines and obligations.

  • Financial Operations & Payments: Verify banking details, process payments promptly, and record all transactions with precision. Oversee incentive payments and reimbursements, ensuring all requisite documentation and approvals are secured in accordance with organizational policies.

  • Data Integrity & Reporting: Design, develop, and maintain comprehensive dashboards, reports, and tracking systems across platforms such as Salesforce, Nexonia, DocLink, and other financial management tools. Ensure the accuracy and integrity of all data, facilitate detailed financial analysis, and provide timely, insightful reports to support informed strategic decision-making.

  • Administrative Excellence: Support the organization's operational functions, including maintaining confidential files, coordinating logistics, and managing general office procedures to sustain an efficient and professional work environment.

  • Cross-Functional Collaboration: Act as a liaison between internal teams and external partners, fostering effective communication and ensuring contractual and financial compliance across all organizational activities.

Qualifications

  • Bachelor's degree or equivalent professional experience in contract management, legal operations, finance, or a related field.

  • Minimum of 2 years' experience in a compliance-driven environment, with demonstrated expertise in contract drafting, review, and administration.

  • Exceptional attention to detail with a proven ability to manage complex contractual and financial processes accurately.

  • Tech-savvy and quick to learn new digital tools and systems; Proficiency with contract management systems, Microsoft Office Suite, Salesforce, Nexonia, DocLink, and financial reconciliation tools.

  • Familiarity with legal terminology and contractual language is highly desirable.

  • Knowledge of the NYC housing market and voucher systems is advantageous.

Compensation and Work Environment

  • Competitive starting salary: $65,000 - $70,000

  • Hybrid work environment: 2-5 days in office &/or in the field

  • This role requires flexibility to work evenings and weekends as needed.
