About the role
The Field Tech Services Coordinator supports the maintenance department and the shops within Krispy Kreme. Reporting to the Manager, Tech Services, you will provide support to the shops with equipment maintenance work, manage administration duties, and oversee technician scheduling.
Responsibilities
- Liaison to shop operation teams and service vendors
- Support the shops with equipment maintenance work
- Manage all Administration Duties associated with managing maintenance actions through the CMMS – Service Channel
- Assign and manage work orders to Krispy Kreme technicians or external service providers
- Check and update work order status for Krispy Kreme technicians or external service providers
- Support the Maintenance Department in tracking work orders, follow-ups, and communication with vendors and shops
- Ensure work orders assigned to Krispy Kreme technicians are processed for payment
- Oversee technician scheduling and dispatch notifications to shops
- Write, organize, and communicate Standard Operation Procedures
- Manage weekly and monthly reporting through Service Channel
- Manage preventative maintenance (PM) programs
- Avoid retiring and adding new assets in Service Channel
- Afford assistance in preparing and distributing project status reports including timelines, internal cost control documentation, and financial accrual reporting
- Set up and maintain a project filing system, assist in project filing system and maintenance
- Request and track payments for projects
- Manage onboarding of new vendors
- Ensure work orders, proposals, and invoices move through the system without undue delay in approval, completion, or payment
- Maintain SOX compliance
- Other duties as assigned
Qualifications
- 2+ years of administrative or office experience in a related field desired
- Preferred experience in equipment maintenance in the QSR or retail industry
- Task management (Overseeing multiple tasks/projects simultaneously and maintaining a consistently high level of output)
- Listening and learning (Ability to assess priorities quickly, and become proficient with protocol, culture, and processes)
- Problem-solving (Takes initiative and goes beyond established framework; looks for new ideas and creative solutions to overcome challenges)
- Ability to work in a team environment with a customer service focus
- Strong communication skills, both written and verbal
- Ability to handle confidential and sensitive information with the appropriate discretion
- Creative-thinking and problem-solving skills; able to think outside of the box, propose and then execute approved processes, and resolve issues as they arise within all company policies and best practices
- Strong IT skills MS Suite Oracle
- Prior CMMS systems experience
- Strong understanding of Maintenance practices. Processes (RFQs, project timelines, punch lists, project closures)
- Understanding of technical terms and processes associated with job category
