About the role

The Facilities Planning Manager is responsible for managing and administering the university's facilities planning across multiple campuses, including West Haven, Orange, and others as assigned. This role oversees the university's Computerized Maintenance Management System (CMMS), preventive and reactive work order control, and the development of written PM procedures.

Responsibilities

  • Manage site centralized Computerized Maintenance Management System (CMMS)
  • Develop written preventative maintenance actions for incorporation into the system
  • Assess all work requests to determine scope of work and provide required direction
  • Supervise student clerical staff in business operations including purchase requisitions, invoice processing, procurement of parts/materials, and managing the 24/7 phone line for facilities
  • Establish operating procedures for the CMMS system and monitor procedures to ensure adherence
  • Generate cost and manpower projection estimates for future work
  • Develop and publish performance reports including work order volume, turnaround, aging, customer satisfaction, etc.
  • Maintain OSHA, DEEP, EPA, NFPA and other Preventative Maintenance programs
  • Ensure all safety requirements, permits, and protective equipment are incorporated in CMMS scheduled and non-schedule maintenance actions
  • Manage central tracking system for Safety related work requests in association with the site EHS department
  • Develop and manage key requests and door hardware repair program

Requirements

  • Highly organized with a bachelor’s degree and minimum of eight (8) years of building and equipment maintenance experience
  • Prior experience with development of maintenance management systems from ground up
  • Excellent communication skills, both written and oral
  • Working knowledge of computer systems and programs such as Excel and Word
  • Working knowledge of various regulatory agency requirements as they relate to maintenance including but not limited to OSHA, IBC, DEEP, EPA
  • Self-directed, able to work with minimal supervision
  • Strong knowledge of current Maintenance Practices and Procedures
  • Experience resolving conflicts between system operating schedules and maintenance demands
  • Negotiating skills to bring consensus and compromise between various operating groups
  • Prior experience working with business office operations including procurement, accounting, invoice management, budget management, and staff supervision in a technical office environment
  • Excellent interpersonal and written skills
  • Ability to work with individuals of all levels from a variety of backgrounds and interests
  • Computer and web-based skills required

  • Must be able to develop strategies and implementation plans for maintenance program implementation
