Facilities Manager

About the role

The Facilities Manager will take ownership of managing the physical spaces where Greenbrook Medical cares for patients. This includes the parking lot, height of curbs, front doors, exam rooms, and other aspects of the patient’s experience. The role involves ensuring these spaces are ready and comfortable for patients and staff, and resolving issues promptly.

Key Responsibilities

  • Be the single point of contact for facilities issues across all clinics, with an intake and triage process so every request has an owner and a target date.

  • Close the loop with whoever raised the issue, and escalate fast when patient safety or clinic operations are affected.

  • Own the landlord and property manager relationship at every operating site, and hold them to their commitments.

  • Scope, contract, and supervise repairs and maintenance we're responsible for as tenants.

  • Maintain a critical date calendar and flag renewals and options early enough for us to negotiate from a position of strength.

  • Build a bench of local trades with negotiated rates and known response times, and hold them to their commitments.

  • Manage recurring and ongoing services such as janitorial, waste and medical waste, pest control, HVAC, lighting, landscaping, power, water, security/ADT.

  • Run safety and compliance walkthroughs on a set cadence with a documented issue log, supporting survey readiness and OSHA compliance.

  • Build and maintain an emergency plan for every site, and own the response when something goes wrong: get the site safe, keep leadership informed, get us back open.

New Clinic Support

  • Be our on-the-ground presence for new clinic launches: site visits, vendor coordination, punch list follow-through.

  • Handle certificates of insurance and landlord requirements through construction, then take over the landlord relationship at certificate of occupancy.

  • Set up security, access control, signage, and recurring services so a new clinic opens ready to operate, working alongside the outside partner who leads the buildout.

Systems, Budget, and Reporting

  • Build the systems this function runs on: request tracking, site records, vendor documentation, preventive maintenance schedules. Keep improving them as we grow.

  • Manage the facilities budget and forecast repairs and replacements so they're planned rather than urgent.

  • Report on open issues, resolution times, and upcoming spend.

About You

  • 4+ years of experience managing facilities across multiple sites, including vendor management and landlord or property manager coordination.

  • Experience working in a regulated or licensed environment where inspections, OSHA compliance, and safety standards are part of the role.

  • Strong organizational skills with a track record of following through and ensuring nothing falls through the cracks.

  • Sound judgment and the ability to prioritize issues based on urgency and business impact.

  • Clear communication skills with a habit of proactively updating stakeholders and closing the loop.

  • A self-starter mindset with the ability to work independently, solve problems, and build processes in a growing organization.

  • Valid Florida driver's license and reliable transportation.

  • Ability to be on your feet for extended periods, lift up to 50 pounds, and access mechanical and utility areas.

What Success Looks Like

  • Critical issues are resolved in days, not weeks.

  • Clinical staff rate facilities support highly on our semi-annual survey.

  • No missed lease options or unintended auto-renewals.

  • No open issues, resolution times, and upcoming spend are tracked.

  • Every new clinic is facilities-ready by its committed opening date.

  • Every site has current records, a documented walkthrough history, and emergency plans.

About You

  • Experience managing healthcare or clinical facilities.

  • Comfortable reading leases and distinguishing landlord responsibilities from tenant responsibilities.

  • Know how to hold vendors and landlords accountable while building productive long-term relationships.

  • Enjoy being hands-on and willing to tackle small repairs or operational issues yourself when appropriate.

  • Thrive in fast-growing environments where you're building systems and processes from the ground up.
