Facilities Manager

About the role
The Facilities Manager will ensure Rowan’s office footprints and flexible workspaces run smoothly while building the foundation for our office architecture as we scale. This role is ideal for a proactive, hands-on professional with prior experience in high-growth startup environments. You will own day-to-day office operations, vendor relationships, space planning, technology coordination, and asset management across Rowan’s offices in Denver (HQ), Seattle, and other emerging areas. The successful candidate will be detail-oriented, a strong communicator, and comfortable driving business outcomes in a fast-paced, collaborative environment.

Travel: Up to 20% for company gatherings or project sites
Responsibilities
- Space & Office Operations
- Manage all aspects of day-to-day facility operations, including maintenance, cleaning, office supplies, and vendor contracts
- Develop and maintain a space utilization plan, including floor plans, desk assignments, and team allocations; coordinate office moves and reconfigurations
- Partner with leadership and People Ops on headcount projections to ensure space planning stays ahead of growth and identify new office needs
- Manage office expansions and ensure all facilities meet safety, compliance, and accessibility standards (ADA, fire, OSHA)
- Technology & AV/IT Coordination
- Coordinate with IT on facilities-related technology infrastructure: network cabling, Wi-Fi coverage, badge access, and building systems
- Manage conference room AV setup, troubleshooting, and vendor relationships; ensure rooms are consistently operational
- Oversee building access control systems (badging, visitor management) and maintain accurate access records
- Maintain and improve facilities technology tools, such as space booking and desk reservation systems
- Asset Management
- Maintain a complete, accurate inventory of all office furniture, equipment, and physical assets
- Track asset lifecycles—procurement, deployment, maintenance, and disposal—and recommend refresh cycles
- Partner with Finance on facilities budget tracking, capital expenditure planning, and cost forecasting for expansions
- Manage procurement of office supplies, furniture, and equipment; negotiate vendor contracts to optimize cost and quality
- Planning & Scaling
- Own the facilities roadmap for expansion to 50k sq ft, including phasing, vendor selection, and construction coordination
- Proactively identify risks (e.g., leases, capacity constraints, vendor gaps) and propose solutions
- Work with Safety and Compliance teams to ensure all spaces align with Rowan’s EHS principles and standards
- Build relationships with internal stakeholders (IT, HR, Finance, Legal) to integrate facilities decisions across the business
Requirements
- 5+ years of facilities management or office operations experience, ideally in a high-growth company environment
- Demonstrated experience managing a physical expansion or build-out (not just steady-state operations)
- Comfortable owning vendor relationships end-to-end: RFPs, contract negotiation, performance management
- Familiarity with facilities technology platforms (e.g., Skedda) and AV/IT coordination
- Strong organizational skills and attention to detail; ability to maintain thorough records
- Effective communicator who can explain facilities needs to non-technical stakeholders
- Proactive, self-directed problem solver who identifies and resolves issues before they escalate
- Working knowledge of building systems (HVAC, electrical, plumbing) sufficient to triage issues and manage vendors
- Ability to manage multiple projects simultaneously in a fast-paced, cross-functional environment
Nice to Have
- CFM (Certified Facility Manager) or FMP credential
- Experience with LEED-certified or sustainability-focused office environments
- Prior experience supporting a company through a significant real estate transaction (e.g., new lease)
- Familiarity with Colorado building codes and permitting processes
Pay
$105,000 – $125,000 (offers bonus)
