Facilities Manager
About the role
RISE is an innovative human services network originally established in 1987 to move individuals living in institutions into family settings. Since then, services have expanded to support children, adults, and families with a variety of needs across multiple states, including residential settings, day programs, employment assistance, managed care, home and community-based services, foster care, professional parenting, adoption, kinship care, after-school and summer programs, behavior supports, mental health services, and Early Intervention services (Occupational Therapy, Speech Therapy, Physical Therapy, and Developmental Specialists).
The Facilities Manager oversees day-to-day facility maintenance requests, directs trades to appropriate vendors across Arizona, Oregon, Utah, and other states as needed, and translates large quantities of data into concise reports for Senior Management. This role requires proactive collaboration with multiple departments.
Responsibilities
- Manage the company’s Facility Maintenance Portal.
- Prioritize work assignments across RISE’s facility portfolio in multiple states.
- Perform project management on special projects and miscellaneous assignments, emphasizing time management and organizational skills.
- Compose agreements, terms, and conditions, including work statements and costs with vendors and suppliers.
- Hire or contract security, maintenance, grounds keeping, and on-site management personnel as required.
- Direct bookkeeping functions, crediting client accounts for receipts and debiting for disbursements.
- Arrange and supervise property alterations, maintenance, upkeep, or reconditioning as specified in management agreements.
- Purchase supplies and equipment for leased properties.
- Visit and inspect properties, rented or owned, at least once a year or as assigned.
- Interpret the most appropriate direction/service for each work order request.
- Manage vendors to ensure timely resolutions and compliance with company policies, OSHA standards, and legal requirements.
- Oversee the vendor network, including procurement of new vendors as needed.
- Assist in establishing budgets and managing real facility spend across the company.
- Perform cost-benefit analysis and analyze trends to determine cost savings through operational processes and preventative maintenance programs.
- Communicate anomalies and property issues to senior team members.
- Work with the Facility team to close out invoices and ensure proper billing and payment to suppliers.
- Provide on-call support every 3-4 weeks for after-hours service requests and weekend support.
Requirements
- Minimum 3-5 years of related experience or a combination of education and experience in project management.
- Associate’s degree in business or related field; Bachelor’s degree preferred.
- 2+ years of experience in Real Estate (property management, brokerage, facility maintenance, construction, etc.).
- CFM or FMP certification preferred.
- Previous experience working with multi-state commercial and/or residential properties.
- Demonstrative construction experience and understanding of the construction industry.
- Ability to work proactively, self-directed, and with minimal supervision.
