Responsibilities
- Oversee facility operations and maintenance for Reingold's headquarters, warehouse, and storage unit.
- Identify, resolve, and communicate building maintenance issues, including sourcing, negotiating with, and managing vendors.
- Handle day-to-day office operations, including the reception desk, office supplies, mail, and conference room setup and breakdown.
- Manage complex shipping and receiving processes (FedEx, USPS, Amazon, etc.) for both staff and client-billable work.
- Coordinate on-site logistics for the firm's client, annual, and ad hoc events.
- Administer the facilities team's budget, procure building equipment and supplies, and maintain proper documentation.
- Ensure vendors adhere to service-level and purchasing agreements, including invoice submissions.
- Collaborate with the IT team to troubleshoot and support technical needs at all locations.
- Control building and parking access for employees and visitors in line with security and safety protocols.
- Partner with senior leaders to distribute all-staff communications on emergency procedures (e.g., closures for inclement weather).
- Develop, update, and communicate standard operating procedures.
- Schedule routine inspections and life safety system tests (dry and wet sprinklers, fire systems, and elevators) to ensure facilities meet code standards.
- Maintain ongoing compliance with local, state, and federal building and workplace regulations.
- Organize staff seating assignments and floor plans in coordination with senior leaders.
- Oversee landscaping and snow removal services.
- Collaborate with a small team of maintenance, custodial, and facility employees.
- Travel monthly to visit our warehouse team in Savage, MD. Mileage is reimbursed at the standard IRS rate.
Requirements
- At least six to eight years of facilities management experience at an organization of 75 or more employees.
- Exceptional professionalism and customer service.
- Demonstrated experience with office maintenance procedures and renovation management.
- A track record of collaborating with staff and small teams.
- Excellent project management, writing, and verbal communication skills.
- Hands-on experience with the setup, operation, and maintenance of audiovisual (AV) equipment.
- High proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
- Working knowledge of internal messaging (Slack) and ticketing software (Jira).
- Availability to work on-site from 8 a.m. to 5 p.m., Monday through Friday.
- Willingness to serve as the contact for occasional building emergencies on a 24/7 basis.
- A current, valid driver's license (or the ability to obtain one), a clean driving record, and access to a reliable, registered, and insured personal vehicle for local work travel.

Pay
The base salary range of $59,000 to $109,000 represents the low and high of the company’s pay range for this position. The budgeted starting salary is in the lower half of the base salary range. Individual compensation will vary based on experience, skills, qualifications, internal equity, and business needs.
Schedule
Availability to work on-site from 8 a.m. to 5 p.m., Monday through Friday, with willingness to serve as the contact for occasional building emergencies on a 24/7 basis.
