About the Role

The Facilities Maintenance Coordinator works closely with the Director of Facilities to maintain the City of Westfield’s grounds, buildings, and equipment to help ensure the safety and security of all City facilities. This role performs duties requiring a high degree of individual initiative and independence from direct supervision, consistent with City policies and procedures.

Responsibilities

  • Serves as the primary backup to the facilities director, overseeing daily operations in their absence.
  • Assists with the care and maintenance of all equipment relating to municipal property, tools, lawnmowers, etc., as well as the care and maintenance of all operating systems (e.g., plumbing, wiring, heating, and cooling) related to municipal buildings and grounds.
  • Aids in the maintenance and inspection of building heating and cooling systems, air handling, lighting, plumbing, and other building systems, as well as generators, smoke alarms, and other building maintenance technology and equipment through contract service providers to determine the most cost-effective means of maintenance, repair, or replacement.
  • Schedules annual inspections of City buildings, grounds, and equipment with appropriate vendors or agencies as directed.
  • Supports custodial staff schedules, assignments, and priorities to ensure all assigned buildings meet cleanliness and safety standards.
  • Helps manage work orders, track progress, and ensure timely completion of repairs or projects.
  • Assists with inventory and storage of equipment and materials and related record-keeping, including preparing/entering requisitions and purchase orders, processing department invoices, and performing accounts payable duties.
  • Opens and/or closes and secures City Hall, ensuring all security systems are activated, and checks emergency lighting equipment.
  • Responds to emergency calls and takes corrective actions as needed.
  • Performs other duties as assigned to assist department functions.

Requirements

  • Associate’s degree in facilities maintenance or a related field.
  • One year of experience in maintenance of large institutional, municipal, or commercial buildings.
  • Any equivalent combination of education and experience that provides the required knowledge, skills, and abilities to perform the essential functions of the job may be considered.
  • Valid driver’s license required.

Skills

  • Knowledge of hazards and safety precautions common to maintenance and repair activities.
  • Knowledge of practices, methods, materials, tools, and equipment used in facilities maintenance.
  • Experience in code compliance and environmental compliance.
  • Ability to work effectively with outside contractors.
  • Strong interpersonal and communication skills, both orally and in writing.
  • Strong computer skills; familiarity with facility maintenance software preferred.
  • Proficient in the operation of tools and equipment usual to the trade.
  • Proficient in the use of personal computers and office software.
  • Ability to maintain confidential information.
  • Ability to understand and follow directions and take initiative in completing assignments.
  • Ability to complete work under pressure while maintaining a high degree of accuracy.
