About the role
As a Facilities Senior Coordinator, you will coordinate clients, vendors, and contractors to ensure complex work orders are completed. This role supports Property Managers with all repairs and investment plans across a set of assets. The position is based in Windsor, CO, but requires travel to other Vesta sites in Colorado, up to 45 minutes away.
Responsibilities
- Directly communicate between landlord, tenants, and service providers to ensure all procedures, policies, and reporting formats are understood and implemented.
- Schedule repairs from work order requests.
- Review data from work order reports to assess performance and progress status.
- Maintain accurate work orders, proposals, department files, and other paperwork submitted by vendors.
- Coordinate office and parking space allocation.
- Present information to internal departments and large groups of employees.
- Recognize and solve typical and atypical problems in your work area without supervisory approval.
- Evaluate and select solutions from established options.
- Impact the team through the quality of services or information provided.
- Follow standardized procedures and practices with regular but moderate supervision and guidance.
- Manage work order distribution and vendor management.
- Maintain 1:1 contact with engineers and facilities managers (this is the biggest portion of the job).
- Handle part ordering, PO writing, and invoicing.
- Work closely with the finance manager on forecasting and budgeting.
Requirements
- High School Diploma or GED with 2–3 years of job-related experience.
- Established understanding of work routines and standards, applying skills and knowledge across processes, procedures, and systems.
- Intermediate problem-solving skills with the capacity to review and select solutions from available options without supervisory approval.
- Ability to explain detailed and complicated information clearly and concisely within the team.
- Advanced knowledge of Microsoft Office products (Word, Excel, Outlook, etc.).
- Strong organizational skills with a robust inquisitive mindset.
- General math skills, including the ability to calculate advanced figures such as percentages, discounts, and markups.
