Responsibilities
- Welcome employees, visitors, and service providers while helping maintain a welcoming and well-organized front-of-house experience.
- Cook up workplace support activities like meeting and event setup, beverage and supply replenishment, and day-to-day office service requests.
- Maintain facilities documentation, compliance records, vendor agreements, and other administrative files with accuracy and consistency.
- Aid with scheduling, purchasing, invoice-related tracking, and budget monitoring to support efficient facilities operations.
- Work with internal teams and external partners to arrange services including cleaning, catering, parking, and security support.
- Monitor stock levels for facilities and office supplies, place replenishment orders, and help prevent shortages of essential items.
- Support office space planning by assisting with seating changes, internal moves, and workspace reconfigurations.
- Help uphold workplace safety standards by following operational guidelines and contributing to emergency preparedness and compliance efforts.
- Coordinate with contractors and service vendors, review completed work, and help ensure services meet expected quality and contract standards.
Requirements
- A high school diploma is required; an associate degree or higher in business, facilities management, or a related discipline is preferred.
- 3-4 years of experience in facilities coordination, office support, or a similar administrative operations role.
- Strong communication and interpersonal skills with the ability to work effectively with employees, visitors, vendors, and cross-functional teams.
- Demonstrated ability to stay organized, manage competing priorities, and handle multiple requests in a fast-paced environment.
- Familiarity with procurement activities, budget tracking, and general administrative recordkeeping.
- Working knowledge of building-related systems and an understanding of workplace health and safety practices.
- Proficiency with Microsoft Office applications, including Excel, Word, Outlook, and PowerPoint; Yardi, experience with facilities management software is a plus.
