About the role
Reporting to the Customer Operations Manager, the Export Documentation Specialist prepares and manages export documents for international shipments. This role requires a strong background in export documentation, a thorough understanding of export procedures, compliance requirements, and international trade standards. The ideal candidate is highly organized, a self-starter, and possesses proven problem-solving and customer service skills.
Responsibilities
- Prepare and review export documentation, including Letters of Credit (LC), shipping instructions, commercial invoices, packing lists, and other related documents
- Ensure all documentation complies with LC terms, international trade regulations, and company policies
- Coordinate closely with internal teams, freight forwarders, banks, and shipping lines to ensure accurate and timely documentation
- Monitor shipment details to ensure consistency across all documents
- Identify and resolve discrepancies in export documents to avoid delays or penalties
- Maintain organized and accurate records of export documentation
- Stay up to date with changes in export regulations and international trade requirements
Requirements
- High School Diploma is required; a bachelor’s degree is preferred
- Minimum of 3-5 years of experience in export documentation
- Strong knowledge of SLIs, LCs, and international trade documentation
- Thorough understanding of export procedures, compliance, and regulations
- ERP system experience is required; SAP is preferred
- Knowledge of industry practices, terminology, and settlement process is preferred
- Strong practical accounting, analytical, and organizational skills
- Proficiency in Microsoft Office products including Excel, Outlook, and Word
- Strong communication skills, both verbal and written
- Ability to work independently as well as with a team
- Capacity to multi-task and switch between tasks fluidly while setting and adhering to deadlines
- Must be able to solve problems and handle multiple tasks effectively
Preferred Skills
- Experience in food ingredients, agriculture, manufacturing, or FMCG industries
- Knowledge of logistics, export/import processes, or demand planning
- Ability to work with global customers and cross-functional teams
- Multilingual skills are a plus
- Familiarity with Incoterms and international shipping practices
- Ability to manage multiple shipments and deadlines in a fast-paced environment
Pay
The pay for this role in the state of CA and IL is between $29.00 and $33.00 per hour and is based on the position responsibilities and geographic location.
