Purpose
Export Documentation Coordinators play a key role in the success of Ravago International’s Exports shipments by ensuring that all the documentation meets US Customs and Border Protection Export Regulations and Foreign Country Import requirements.
Areas Of Responsibility / Tasks
- Leverage multiple resources to obtain container activity information, including Ocean Carrier websites, Port Terminal websites, internal inboxes and network shares, warehouse reports, and Tableau dashboards.
- Audit Warehouse Bill of Lading for accuracy and identify discrepancies to resolve disputes with US Customs and Border Protection.
- Utilize logistical knowledge to calculate financial impacts and decide on documentation extensions or temporary instructions for Ocean Carriers to reserve space and meet deadlines.
- Develop and maintain relationships with Ocean carriers and handle escalations as needed.
- Obtain and review Ocean Bill of Lading Contracts for accuracy, ensuring details like Ocean Freight amounts, Container numbers, Seal numbers, weights, delivery addresses, and product descriptions are correct.
- Ensure Consignee details comply with specific country requirements and request corrections if necessary.
- Provide release instructions to Steamship lines upon payment confirmation and familiarize oneself with different release types accepted by various destinations.
- Comply with US Customs record retention laws by uploading appropriate export documents to the system repository.
- Analyze and manage logistic costs and Ocean rates to ensure they align with contracted rates and resolve disputes if necessary.
- Accurately and timely deplete inventory from Ravago International’s business systems to prevent discrepancies.
- Assess financial risks and make decisions about accepting last-minute changes to Ocean Bills of Lading, communicating these changes to Ocean carriers.
- Handle proactive duties to execute rush orders and assist in achieving committed sales volume targets.
- Problem-solve by seeking better alternatives and making rational assessments of options.
- Contribute to group success by assisting with coverage during absences and staying updated on developments related to the company, profession, resources, and technology.
- Perform secondary duties as assigned.
Competencies

- Familiarity with international documentation (Commercial Invoice, Packing List, Certificate of Origin)

Qualifications
- Education: A college degree in Supply Chain or Logistics and/or at least 3 years of Freight Forwarding or similar Maritime supply chain experience is required, or Bachelor’s degree or equivalent work experience required.
- Experience: Freight forwarder experience preferred; equivalent International Trade experience obtained internally at Ravago; experience working effectively with transport service providers; experience in trading, resale, distribution, and supply chain; proficiency in Microsoft Office: Outlook, Word, and Excel.
- Licenses / Certifications: Valid driver’s license – required.
- Language: Proficiency in English required; bi-lingual – Spanish or Portuguese is a plus.
