About the role
The Expeditor II role at System One involves driving and tracking all pre-delivery document submittals in accordance with the contract and project schedule. The role also includes prioritizing outstanding supplier documents, expediting new, missing, or returned documents, conducting weekly supplier documentation performance analysis, participating in weekly Engineering calls and meetings, and providing detailed updates to stakeholders.
Responsibilities
- Drive and track all pre-delivery document submittals in accordance with the contract and project schedule.
- Prioritize outstanding supplier documents to improve on-time delivery performance.
- Expedite new, missing, or returned documents from suppliers and Engineering.
- Conduct weekly analysis on supplier documentation performance to identify improvement opportunities.
- Participate in weekly Engineering calls to provide updates on document status.
- Attend weekly Project Expediting meetings to ensure timely submittals for review and vendor return.
- Use good communication, problem solving skills, and initiative to source and resolve document submittal issues.
- Identify and escalate ongoing supplier documentation issues to the Project Expeditor and/or Expediting Manager.
- Support a proactive, systematic, and standardized approach to detecting and preventing delays.
- Provide detailed updates to stakeholders on supplier document submittals.
- Assist in document expediting for Engineering and Construction Teams, using various tools or systems as needed.
- Prepare meeting agendas, publish minutes, and perform miscellaneous expediting functions to support the project.
- Perform expediting activities to ensure on-time delivery of equipment, materials, and documentation.
- Embed in fabrication facilities or job sites as required.
- Travel up to 25% of the time for home office positions.
Requirements
- A High School Diploma or GED.
- 1-3 years relevant work experience.
- Experience with Microsoft Office Suite (Windows, Excel, Outlook, Word, etc.).
- Critical thinking and problem solving skills to work with only general policies or procedures available.
- Effective verbal and written communication skills for relationship building.
- Ability to work independently with minimal supervision.
- Ability to recognize timelines and deadlines to prioritize work.
