Responsibilities

  • Administer, direct and coordinate all of the functions of Ring House in keeping with the overall policies and directives established by the Board and Senior Management of the Charles E. Smith Life Communities (CESLC).
  • Develop and recommend policies, procedures and objectives to the Sr. VP, Operations for establishment by the Board and Senior Management of CESLC.
  • Review and evaluate existing policies, procedures and work methods.
  • Oversee the development of improved work methods and procedures in order to achieve directives.
  • Promote favorable public relations by representation and involvement in state and local retirement associations, consumer groups, and related government regulatory agencies and groups.
  • Establish quality standards with departments and monitor quality care through CESLC’s performance improvement process.
  • Identify key community agencies in the aging field and develop cooperative relationships with other community agencies.
  • Establish, implement and maintain quality improvement/risk management processes for day-to-day operation in compliance with CELSC policies and procedures.
  • Participate, facilitate, and coordinate efforts in the organization’s Drive for Excellence at Ring House and in campus interactions.
  • Plan, coordinate and oversee building operations, including, but not limited to, facilities management and tenant services and programs.
  • Oversee contracted services including, waste management, extermination, environmental services, food services, engineering, etc. Ensure quality of services.
  • Achieve strong financial performance from department and organizations by maximizing occupancy and rental revenue, generating new revenue, containing costs, etc.
  • Plan, develop and implement organization-wide policies and practices for the seamless movement of tenants across the organization’s continuum of services, from independent living to skilled nursing.
  • Observe and assess tenant care through interaction with tenants, families and staff, and consult with same in program development, implementation and evaluation to meet tenant needs.
  • Maintain positive working relations with tenants and families and demonstrate the interpersonal skills that contribute to overall service excellence of the facility.
  • Establish and maintain a strategy to successfully address customer concerns and improve the level of customer satisfaction with the care and services provided by Ring House.
  • Communicate regularly with the Sr. VP, Operations to report deviations from standard operating procedure.
  • Oversee compliance with HOC Regulatory Agreement, including wait list management according to income eligibility levels, eligibility certification and annual recertification processes, and all reporting and leasing requirements.
  • Ensure sufficient orientation of new tenants and their families to their units, the building and the community.
  • Make use of available resources and volunteers to provide services and programs to enrich the tenants’ living environment.
  • Observe tenants, recognize changes in health and functional status and communicate information to the appropriate individual or agency.
  • Manage all commercial tenant leases, including annual review of lease terms, annual rent adjustments, and continuous oversight of building maintenance and housekeeping services.
  • Schedule and lead Ring House staff meetings, and attend System OPS and CESLC department head meetings to relay information, and assist in identifying and correcting problem areas and/or the improvement of services.
  • Schedule and participate in quarterly Ring House Board meetings.
  • Serve on Board Committees and task forces formed in support of special projects and/ or strategic initiatives as assigned.
  • Plan the annual budget.
  • Oversee all capital purchases, special projects and replacement reserve expenditures.
  • Manage replacement reserve reimbursement process.
  • Administer departmental annual budget process and promote efficiency, effectiveness and economy of operations.
  • Present variance explanations based on identified parameters.
  • Collaborate with Human Resources Department to staff Ring House including hiring, interviewing, terminating.
  • Supervise staff to include training, disciplinary actions and performance appraisals.

Requirements

  • Must possess, as a minimum, a Bachelors’ degree from an accredited college or university.
  • Must have, as a minimum, three years of experience in a supervisory capacity in senior housing.
  • Must be able to read, write, speak, and understand the English language.
  • Must possess the ability to make independent decisions when circumstances warrant such action.
  • Must possess the ability to deal tactfully with staff, tenants, family members, visitors, government agencies/personnel, and the general public.
  • Must possess leadership ability and the willingness to work harmoniously with and supervise other staff.
  • Must have patience, tact, a cheerful disposition and enthusiasm, as well as the willingness to handle difficult situations.
  • Preference: Masters’ degree in gerontology, housing, business, social work or related field. Retirement Housing Professional Certificate or Assisted Living Administrator Certification.
