Compensation: $150,000-$160,000 per year. This role requires 24/7 and on-site availability.

About the role

The Executive Business Partner will provide strategic support, collaboration, and advisement to the executive team to ensure company goals and objectives are accomplished. The primary focus will be supporting the CEO, requiring excellent communication skills, flexibility, critical thinking, efficiency, change management, and executive consultation, with expectations prone to changing on a day-to-day basis.

Responsibilities

  • Manage complex, multi-time zone calendars, screen contacts, and prioritize meetings.
  • Triage incoming communications, draft professional or personal correspondence, and act as a liaison to internal/external partners.
  • Coordinate detailed domestic and international travel itineraries, private transportation, and high-level scheduling.
  • Maintain day-to-day books for personal entities and households, including transaction management, reconciliation, and reporting.
  • Categorize daily expenses, reconcile bank and credit card statements monthly, and track cash flow.
  • Manage personal bill payments, vendor invoicing, and monitor household or personal operating budgets.
  • Coordinate with external accounting, finance, bank managers, legal counsel, and estate vendors.
  • Manage professional scheduling for the CEO and other executives, including agendas, mail, email, calls, travel arrangements, and client management.
  • Participate in and/or lead executive meetings, providing high-level notetaking and follow-up.
  • Coordinate complex scheduling, calendar management, and information flow between executive and operational leadership.
  • Arrange corporate executive travel and related activities, including hotel bookings and transportation.
  • Perform administrative and office support, such as spreadsheet creation and maintenance of contacts databases.
  • Maintain professionalism and strict confidentiality with all materials, exercising discretion in business interactions.
  • Organize team communications and plan events, both internally and offsite.
  • Other duties as assigned.

Requirements

  • Bachelor’s degree in Business Management or a related field from a four-year college or university.
  • At least 3-5 years of executive administrative experience.
  • Valid driver’s license may be required.

Skills

  • Superb written and verbal communication skills.
  • Ability to organize and coordinate multiple projects simultaneously.
  • Proficiency in MS Office and other office productivity tools, with aptitude to learn new software systems.
  • Flexible team player willing to adapt to high-pressure situations and enjoys challenges.
  • Ability to maintain a high level of confidentiality.
