About the role

The Donovan's Venom, INC. is a non-profit 501(c)(3) organization dedicated to providing music, art, and entertainment to those in need. It supports individuals who lack the means or access to such resources.

Responsibilities

  • Manage and optimize the CEO’s calendar

  • Align time with organizational priorities

  • Anticipate conflicts and proactively resolve them

  • Serve as a key point of contact for internal and external communication

  • Draft and manage emails

  • Announce and manage executive messaging

  • Ensure timely, professional, and clear communication

  • Coordinate leadership and executive meetings

  • Prepare agendas and materials

  • Capture action items and ensure follow-through

  • Keep meetings structured and outcome-driven

  • Track CEO-led initiatives and priorities

  • Ensure alignment and progress across teams

  • Help drive accountability and execution

  • Act as a liaison between CEO and Executive team

  • Department leaders

  • Ensure communication flows clearly across the organization

  • Maintain organized documentation

  • Strategic plans

  • Reports

  • Key communications

  • Build structured workflows for executive operations

  • Handle sensitive information with discretion

  • Maintain trust and professionalism at all times

  • Support planning of Town halls

  • Leadership meetings

  • External engagements

  • Ensure logistics and follow-through

  • Track deadlines, deliverables, and key priorities

  • Provide updates and summaries to the CEO

  • Maintain visibility across initiatives

  • Identify inefficiencies in executive workflows

  • Build systems to improve organization and execution

  • Support scalable executive support processes

Qualifications

  • 3–5 years in executive support, administrative, or coordination roles

  • Experience supporting senior leaders preferred

  • Strong organizational and time management skills

  • PREFERRED: Experience in nonprofit or mission-driven environments

  • Preferred: Experience working in remote teams

  • Strong writing and communication skills

Commitment

10–15 hours per week
