Executive Assistant to the CEO
Job Description
PURPOSE OF THE JOB
Provides comprehensive executive level support to the CEO, Board of Directors, and the Senior Leadership Team (SLT).
Responsibilities/Duties
Administrative Leadership Support: Directly supports the CEO and SLT. Supports CEO in external commitments, including external boards, committees, and other groups. Provides full scale administrative support in all areas to SLT on T&Es, credit cards, bookings, special travel, events, etc.
Administrative Management: Manages primary travel and vendor relationship management to include American Airlines, Jet Logistics, Suntory, T&Es, Notary services, file management, tickets admin, and Board Room management. Negotiates yearly renewal of programs and contracts.
Event Management: Provides project/budget management, IT/AV assessments, etc. (AOP, Offsite VP Sales & Team Meetings, Retirement Celebrations, Board Outings, Golf Outings, and other special events).
Special Programs: Serves as the President’s liaison to Board of Directors. Manages logistics for Board meetings. Works with PepsiCo on Ring of Honor recipients/winners and oversees the process.
Calendar Management/Memos: Manages appointments and prioritizes sensitive matters and high-level meetings. Manages correspondence and prepares responses. Communicates on behalf of the CEO.
Meeting Preparation: Prepares presentation materials for external Board of Directors. Diligently keeps Board Books (PCBA, ABA, KDP, UNC Children’s Hospital, PepsiCo Blue System Council, Staff Period Reviews, Corporate Breakfasts, Teams Meetings, etc). Prepares expense reports, reviews credit card statements, and submits reimbursement reports for outside committee involvement.
Senior Management Liaison: Participates as an adjunct member of the SLT in attending staff meetings. Coordinates agenda of senior management team meetings and actions. Other duties as assigned.
Minimum Requirements
High school diploma or GED required.
Ten (10) years of administrative, project management, and customer care experience.
Advanced knowledge of Microsoft Office Applications (MS Word, Excel, PowerPoint, and Outlook).
Previous meeting planning experience.
Excellent written and verbal communication skills.
Ability to interact and communicate with individuals at all levels of the organization.
High level of interpersonal skills and ability to handle sensitive and confidential situations.
Continual demonstrated poise, tact, and diplomacy.
Strong attention to detail in composing, typing, and proofing materials.
Able to multi-task, establish priorities, and meet deadlines.
Exceptional organizational skills.
Proactively address and resolve issues.
Must be able to work hours necessary to complete assigned tasks.
