About the Role

A well-funded, technology company with deep roots in AI is seeking a highly proactive Executive Assistant to the Founder/CEO. This is a visible, hands-on role for someone who works with urgency, anticipates needs, and can keep pace with a decisive executive in a fast-changing environment. In addition to core executive support, this person will help coordinate day-to-day operations for a small U.S. office.

Responsibilities

  • Own and continuously optimize the CEO’s complex, fast-changing calendar across multiple global time zones.
  • Coordinate domestic and international travel, detailed itineraries, logistics, and last-minute changes.
  • Prepare executive and board meetings, including agendas, materials, presentations, and logistics.
  • Attend selected meetings, capture decisions and action items, and drive timely follow-up.
  • Draft, edit, and format presentations, correspondence, and other executive materials.
  • Serve as a trusted point of contact for senior leaders, board members, investors, employees, and external partners.
  • Anticipate needs, resolve routine issues independently, and surface risks before they become problems.
  • Coordinate vendors, supplies, meetings, and other day-to-day office needs for the small U.S. team.
  • Support light local people/HR coordination in partnership with the global HR organization.
  • Handle highly confidential information with sound judgment and discretion.

Requirements

  • 2–3 years of Executive Assistant experience, including experience supporting a CEO, founder, or fast-paced C-level executive in either a startup or venture capital company.
  • Experience supporting executives in a fast-paced startup or venture capital firm.
  • Exceptional calendar, travel, and meeting-management skills, with the ability to quickly reprioritize.
  • A proactive, anticipatory working style—you see what is needed, act quickly, and follow through.
  • Excellent written and verbal communication skills, with polished executive presence.
  • Strong organization, attention to detail, and the ability to manage multiple priorities at once.
  • Independence, resourcefulness, and sound judgment in an environment where not every process is defined.
  • Professional fluency in English and the ability to work effectively across cultures and time zones.
  • Ability to work onsite in Silicon Valley 5 days per week. Must be within commuting distance of Cupertino, CA.

Helpful Experience

  • Office operations, vendor management, or local HR coordination.
