Executive Assistant to CEO
Location: Los Angeles, CA (Downtown)
Reports To: Chief Executive Officer
About the Opportunity
This role is with a leading provider of alternative dispute resolution (ADR) services, partnering with many of the nation's most respected retired judges and litigators to help resolve complex legal matters outside of the courtroom. As the company continues to grow, we are seeking a highly capable Executive Assistant to serve as a trusted partner to the CEO. This is not a traditional administrative support role. We're looking for someone who thrives in a fast-paced executive environment, anticipates needs before they arise, and helps ensure the CEO remains focused on the highest-value priorities.
Responsibilities
- Manage the CEO's dynamic and ever-changing calendar, ensuring priorities are aligned and time is optimized.
- Coordinate meetings, appointments, and follow-up actions to keep initiatives moving forward and commitments on track.
- Arrange domestic travel and prepare comprehensive travel itineraries and logistics.
- Develop executive presentations, PowerPoint decks, reports, and board meeting materials.
- Maintain and track key relationships and ongoing communications with judges, mediators, attorneys, business executives, and other strategic stakeholders.
- Conduct research, compile information, and prepare briefing documents for meetings, presentations, and strategic discussions.
- Draft, coordinate, and manage internal and external communications on behalf of the CEO.
- Collaborate with senior leadership to monitor projects, deadlines, and organizational priorities.
- Handle sensitive and confidential information with the highest level of professionalism and discretion.
- Anticipate challenges, identify solutions, and proactively address issues before they impact the business.
Requirements
- Several years of experience supporting a CEO or senior executive within a fast-paced corporate or professional services environment.
- Exceptional organizational, planning, and time management skills with the ability to balance multiple priorities.
- Strong analytical and critical thinking skills, with the ability to anticipate executive needs and connect information across projects.
- Excellent written, verbal, and interpersonal communication skills.
- Advanced proficiency in Microsoft Office, particularly PowerPoint, Word, Outlook, and Excel.
- Meticulous attention to detail with outstanding follow-through and execution.
- Professional presence with the confidence to interact effectively with executives, board members, clients, and other senior stakeholders.
- Ability to work independently while demonstrating sound judgment, initiative, and discretion.
