Managing Complex Calendars

Managing complex calendars, expenses, and time commitments for executives.

Anticipating the needs of leaders and teams before they arise, resolving scheduling conflicts with minimal direction.

Triaging incoming requests and inquiries, raising time-sensitive or significant matters with good judgment and discretion.

Process Improvements

Identifying, developing, and implementing process improvements, bringing new tools or approaches to the team proactively, while maintaining highly organized and efficient administrative workflows and independently delivering solutions.

Technology Integration

Using AI tools (such as Microsoft CoPilot) to draft communications, summarize information, and streamline administrative workflows.

Meeting Management

Planning and managing internal and external meetings end-to-end, including team meetings, large offsites, live trainings, and cross-functional gatherings, with attention to gathering agendas, logistics, coordination with attendees, catering decisions, materials and follow up.

Presentation Support

Building polished PowerPoint presentations by synthesizing inputs from multiple contributors into organized, executive-ready decks.

Procurement and Expense Management

Submitting requisitions, tracking of deadlines, monitoring purchase orders and renewals.

Cross-Functional Collaboration

Collaborating cross-functionally and serving as a trusted partner to peers.

Communication and Confidentiality

Communicating effectively across all levels while maintaining confidentiality.

Leadership Support

Demonstrating organizational knowledge and understanding leader priorities, including support for increasingly complex responsibilities.

Travel and Expense Management

Handling travel arrangements and expense reports for executives including managing complex international travel (typically VP+), visas and expense reporting.

Departmental Resources

Maintaining departmental SharePoint, Teams and Intranet sites, keeping them current, organized and useful as working resources.

Qualifications

  • Eight (8) or more years of administrative experience required, with at least four (4) years supporting senior leaders in a business or legal environment.
  • Associate or bachelor’s degree preferred.
  • Advanced proficiency in Microsoft 365 (Outlook, PowerPoint, Excel, Word, Teams), SharePoint, Concur, and collaboration platforms; ability to troubleshoot and train others.
  • Proven track record managing complex calendars, orchestrating senior-level meetings and events, and coordinating domestic/international travel with precision.
  • Exceptional organization, prioritization, and follow-through.
  • Flexibility to support after-hours needs tied to executive travel, global time zones, and critical events.
