About the Role
The Executive Assistant will support executive administration, calendar management, meeting coordination, and strategic business operations.
Responsibilities
- Calendar Management: Manage a high-volume executive calendar, coordinating internal and external meetings while prioritizing shifting business needs.
- Executive Coordination: Serve as a primary point of contact for senior stakeholders, investors, partners, and external contacts on behalf of executive leadership.
- Meeting Preparation: Prepare materials, presentations, spreadsheets, and briefing documents to support meetings and business initiatives.
- Travel & Logistics: Coordinate travel arrangements, itineraries, meeting logistics, and related scheduling requirements.
- Administrative Operations: Process expense reports, manage invoices, and support daily administrative activities for executive leadership.
- Project Support: Assist with special projects, business initiatives, and ad hoc requests while collaborating across multiple teams and departments.
Requirements
- Education: Bachelor’s degree is preferred.
- Experience: 5–10 years of executive assistant experience supporting executives, preferably within financial services, investment management, or professional services environments.
- Industry Knowledge: Experience operating within a fast-paced, high-volume business environment supporting senior leadership is required.
- Technical Skills: Advanced proficiency in Microsoft Office Suite, including Excel, PowerPoint, Outlook, and Word, is required.
- Skills & Attributes: Exceptional organization, attention to detail, communication skills, adaptability, and the ability to anticipate executive needs are required.
