About The Role

We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to our Chief Investment Officer based in London, along with two Vice Presidents located in London and South Africa. This role requires a detail-oriented professional capable of managing complex, dynamic schedules and facilitating seamless communication across multiple time zones. As a key member of our remote team, you will be entrusted with sensitive information and high-visibility communications that impact the entire organization. The ideal candidate will thrive in a fast-paced, Slack-first culture where adaptability, resourcefulness, and excellent judgment are essential. You will be instrumental in ensuring that our leadership team operates smoothly, allowing them to focus on strategic initiatives and exploration projects. The hiring process includes a timed assessment to evaluate your decision-making, communication skills, and ability to work under pressure, followed by interviews with our EA team and the executives you will support.

Qualifications

  • Based in London, preferably near Shoreditch
  • 7+ years of experience supporting senior executives, ideally supporting two or more simultaneously in a fast-paced environment
  • Exceptional organizational and project management skills, with a proven track record of handling multi-step workflows involving multiple stakeholders
  • Flawless attention to detail, with a keen eye for accuracy and consistency
  • Proficiency in real-time communication tools such as Slack and the ability to quickly adapt to new systems
  • Experience or enthusiasm for AI technologies and their applications in business
  • Professional, discreet, and able to maintain composure under pressure
  • Availability to work evenings and weekends when required
  • Strong relationship-building skills, with the ability to earn and protect trust quickly
  • Excellent written and verbal communication skills, with clarity and brevity
  • Self-starter who operates independently but also collaborates effectively within a team

Responsibilities

  • Manage complex, frequently changing calendars for the Chief Investment Officer and two Vice Presidents, coordinating across multiple time zones
  • Arrange domestic and international travel, including flights, accommodations, and ground transportation, and handle last-minute adjustments efficiently
  • Prepare agendas, briefing materials, and documentation to ensure executives are well-prepared for meetings
  • Take detailed notes during meetings and track follow-up actions to ensure timely completion
  • Handle expense reports, approvals, and other administrative tasks with accuracy and discretion
  • Triangulate inbound requests, prioritize, and route communications through Slack and other collaboration tools
  • Support the broader EA team by sharing context, assisting with ad hoc projects, and fostering a collaborative environment
  • Maintain confidentiality and exercise sound judgment in handling sensitive information
