About the role

The Executive Assistant provides high-level administrative and coordination support to the CEO, managing calendars, travel, meetings, and departmental projects while maintaining the highest levels of confidentiality and professionalism.

Responsibilities

  • Calendar & Meeting Management
    • Provide comprehensive, proactive calendar management for the CEO, prioritizing and resolving scheduling conflicts with sound judgment.
    • Prepare, organize, and distribute materials for meetings; take minutes and track action items through to completion.
    • Cook up and coordinate logistics for Weekly and Monthly Team Meetings, offsites, retreats, and other team-related activities.
  • Communication & Liaison
    • Serve as a point of contact for internal and external constituencies on matters pertaining to the CEO's office.
    • Provide a "gatekeeper" and "gateway" role, creating a smooth bridge for communication between the CEO, their staff, and peers.
    • Maintain open communication with the broader executive team and the Executive Assistants who support them.
    • Partner with the Office of the CEO to ensure CEO aligned with organization-wide initiatives, cadences, and priorities.
    • Work closely with the CEO to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
  • Travel & Expense Management
    • Manage the CEO's domestic and international travel arrangements, itineraries, and reimbursable expenses.
    • Ensure travel plans align with corporate travel policy and proactively resolve itinerary changes.
  • Projects, Events & Administrative Support
    • Complete a broad variety of administrative tasks that enable the CEO to effectively lead the organization, including project planning, presentation production, and partner on tracking of key initiatives.
    • Provide event management support for executive-level events, conferences, and company activities as requested.
    • Provide hospitality to all guests and help create a welcoming environment for visitors and stakeholders.
    • Build long-lasting, trusted relationships with both external and internal stakeholders.
    • Perform other projects and duties as assigned for the overall benefit of the organization.

Requirements

  • Strong ability to execute work with a diversity, equity, and inclusion lens.
  • Significant executive support experience, including supporting C-level executives.
  • Expert proficiency with Microsoft Office; adept in using end-user technology solutions overall.
  • Educational requirement: Bachelor's Degree or Equivalent Experience Required.
  • Must have certifications: HFMA Certified Revenue Cycle Representative (CRCR) within 9 months of hire.

Qualifications

  • Experience: 1–2 years of healthcare experience, preferred.
  • Openness to innovation: Must be inquisitive and demonstrate openness to exploring better processes and ways to alleviate friction and improve patient and client experiences.

  • Able to switch gears at a moment's notice.
  • Able to work well within a cross-functional team environment, including close coordination with the Office of the CEO.

Pay

This position pays between $69,400 - $119,700 based on experience.

Schedule

This is a remote position; however, candidates must be willing and able to travel to and work onsite at client, temporary, or corporate office locations as business needs require.
