Executive Assistant, Office of the CEO
About the Role
We are seeking a highly organized, proactive, and adaptable Executive Assistant to provide high-level administrative support to the Chief of Staff to the CEO. This is a dynamic role that requires strong attention to detail, excellent communication skills, and the ability to manage multiple priorities across executives with evolving business needs. The ideal candidate is someone who thrives in a fast-paced environment, maintains confidentiality, and demonstrates initiative and good judgment. Five days a week in our midtown Manhattan office is required, limited travel.
You Will
- Manage complex calendars, including scheduling internal and external meetings, across time zones
- Coordinate domestic and international travel arrangements and prepare detailed itineraries
- Process expense reports, purchase orders, and invoices in a timely manner
- Prepare meeting agendas, take notes, and follow up on action items
- Act as a liaison between leaders and internal/external stakeholders
- Prioritize tasks and allocate time effectively between executives
- Aid in presentation creation, report formatting, and internal communications
- Maintain and organize documents, files, and business records
- Cook up team events, offsites, and virtual/in-person meetings
- Support onboarding of new team members or vendors
You Have
- 5+ years of experience supporting senior-level executives, preferably in a global organization
- Exceptional organizational, time management, and multitasking skills
- Strong written and verbal communication skills
- Proficiency in Google Suite (Docs, Sheets, Slides, Drive, Gmail, Calendar), and familiarity with tools like Zoom, Concur, and Slack
- Proven ability to handle sensitive information with discretion and maintain confidentiality
- Proactive and resourceful with a strong sense of ownership and follow-through
